A Day In The Life
We are looking for an energetic, motivated and organized Corporate Receptionist to join our dynamic and fast-paced Vancouver office. Reporting to the Manager of Facilities & Business Support Services, the Corporate Receptionist will be responsible for delivering exceptional client service by professionally managing the reception area and welcoming clients and guests to the office. This position is 100% on-site, 9:30 a.m.-5:30 p.m., subject to change.
Responsibilities include, but are not limited to:
Work collaboratively with reception and all members of the Facilities & Business Support Services team to achieve the deliverables
Assist IT and Hospitality teams with resolving issues/problems as necessary
Provide on-the-job training and guidance to team members to ensure work is completed accurately, by the required deadline, in the most efficient and effective manner possible, ensuring they provide effective and efficient client service to Firm members
Responding promptly and professionally to all incoming calls and directing them to the appropriate departments or individuals
Welcoming and guiding clients and visitors to the office, with a seamless blend of professionalism, friendliness, and attentiveness, you will create a lasting positive impression, leaving clients and visitors with a sense of utmost satisfaction and trust in our firm's commitment to exceptional service.
Communicating with all members of Fasken, including lawyers, assistants, and individuals from various departments such as Marketing, IT, HR, and Management, regarding client arrivals and other related matters
Overseeing boardrooms and meeting room logistics including problem-solving and making necessary adjustments if rooms need to be rearranged. Effectively communicating these changes to the relevant individuals or departments, ensuring smooth and efficient operations while managing meeting spaces to accommodate various requirements and unforeseen circumstances.
Provide daily meeting room schedules for IT and Hospitality to assist with planning and execution
Coordinating catering and equipment needs, as required
Maintaining quality control in meeting room set up and Hospitality
Reporting maintenance matters to Office Services
Organizing meetings, including booking IT requirements when needed
Required Knowledge and Experience
Being professional and energetic with a positive "can-do" attitude - willing to go the extra mile at all times
Having the ability to interact with firm members and visitors in a pleasant, professional manner
Having a strong teamwork and client/customer service focus
Exceptional communications skills, both in person, in writing and over the phone
Excellent organizational skills, with the ability to work independently using initiative and judgement
The ability to adapt to changing priorities and manage multiple tasks
Prior experience handling a multi-line telephone system
Minimum 3 years of experience in a professional services environment, law firm experience would be considered an asset

Compensation
The typical salary range for this position is $50,000 - $55,000 annually; the base pay offered is based on location and may vary depending on job-related knowledge, skills, experience, internal and market equity.
