Sous la supervision du Directeur des Op\xc3\xa9rations Commerciales, vous occuperez le poste de Coordinateur Administratif des Op\xc3\xa9rations Commerciales, supervisant la marchandise, la restauration, le service de conciergerie et l\'Exp\xc3\xa9rience VIP. Vos responsabilit\xc3\xa9s incluent la saisie de toutes les donn\xc3\xa9es des spectacles en tourn\xc3\xa9e et le soutien essentiel \xc3\xa0 tous les projets et activit\xc3\xa9s men\xc3\xa9s par le d\xc3\xa9partement des Op\xc3\xa9rations Commerciales. Ce r\xc3\xb4le vous permettra d\'acqu\xc3\xa9rir une compr\xc3\xa9hension globale du processus complet de gestion des stocks.

Les responsabilit\xc3\xa9s:

- Ajuster les ventes quotidiennes du jour pr\xc3\xa9c\xc3\xa9dent au besoin pour assurer un traitement fluide et r\xc3\xa9soudre tout probl\xc3\xa8me li\xc3\xa9 au traitement des ventes.

- Coordination et ex\xc3\xa9cution de tous les mouvements hebdomadaires d\'inventaire dans SAP, y compris les articles endommag\xc3\xa9s, les pertes, les retours aux fournisseurs et autres d\xc3\xa9ductions telles que les cadeaux et les articles de relations publiques.

- \xc3\x89tablir des proc\xc3\xa9dures d\'inventaire et coordonner le calendrier d\'inventaire. Fournir un soutien \xc3\xa0 l\'\xc3\xa9quipe tout au long du processus et effectuer les ajustements n\xc3\xa9cessaires dans SAP.

- Pr\xc3\xa9parer, coordonner et garantir le mouvement pr\xc3\xa9cis et en temps voulu des donn\xc3\xa9es dans les syst\xc3\xa8mes SAP d\'un march\xc3\xa9 \xc3\xa0 un autre, assurant le bon processus entre les entit\xc3\xa9s l\xc3\xa9gales et les pays.

- Recevoir les factures dans notre syst\xc3\xa8me et appliquer la codification appropri\xc3\xa9e.

- Prendre des mesures sur toutes les commandes d\'achat en attente, en veillant \xc3\xa0 ce qu\'elles soient cl\xc3\xb4tur\xc3\xa9es \xc3\xa0 temps.

- Faire le suivi avec la tourn\xc3\xa9e, les fournisseurs, les comptes cr\xc3\xa9diteurs et la finance pour r\xc3\xa9soudre rapidement les questions en suspens li\xc3\xa9es \xc3\xa0 la facturation.

- Coordination du flux d\'informations entre la tourn\xc3\xa9e et le si\xc3\xa8ge social. Engagez une communication proactive avec toutes les parties concern\xc3\xa9es pour faciliter le bon d\xc3\xa9roulement des op\xc3\xa9rations.

- Collaborer avec les \xc3\xa9quipes pertinentes pour ex\xc3\xa9cuter des activit\xc3\xa9s et des processus li\xc3\xa9s \xc3\xa0 SAP, en participant activement \xc3\xa0 leur am\xc3\xa9lioration et optimisation.

- T\xc3\xa9l\xc3\xa9charger tous les prix de ventes pour la restauration et la marchandise dans SAP.

- Cr\xc3\xa9er toutes les promotions dans le syst\xc3\xa8me de point de vente.

- Cr\xc3\xa9er des documents mod\xc3\xa8les dans Excel pour faciliter la transmission d\'informations.

- Surveiller de pr\xc3\xa8s l\'avancement de tous les dossiers en suspens.

- Maintenir une documentation organis\xc3\xa9e et \xc3\xa0 jour.

- Fournir un soutien administratif cl\xc3\xa9 aux tourn\xc3\xa9es.

- D\xc3\xa9montrer une compr\xc3\xa9hension globale du processus complet de gestion des stocks pour r\xc3\xa9soudre et traiter imm\xc3\xa9diatement toutes les actions n\xc3\xa9cessaires.

- Assister d\'autres d\xc3\xa9partements en effectuant des t\xc3\xa2ches administratives sur divers projets, favorisant un environnement de travail collaboratif et interfonctionnel.

Vous poss\xc3\xa9dez ces habilet\xc3\xa9s professionnelles et techniques :

- Dipl\xc3\xb4me d\'\xc3\xa9tudes coll\xc3\xa9giales (DEC)

- 2 ans d\'exp\xc3\xa9rience en gestion des stocks

- Connaissance approfondie de SAP ou d\'un programme similaire.

- Fortes comp\xc3\xa9tences organisationnelles, curiosit\xc3\xa9 et flexibilit\xc3\xa9.

- Comp\xc3\xa9tences interpersonnelles et capacit\xc3\xa9 \xc3\xa0 travailler efficacement avec les autres.

- Connaissance de l\'environnement MS Office, ma\xc3\xaetrise d\'Excel et PowerPoint, ainsi que des logiciels de conception.

- Fluence en anglais et en fran\xc3\xa7ais, \xc3\xa0 l\'oral et \xc3\xa0 l\'\xc3\xa9crit.

Administrative Coordinator - Commercial Operations

Put your expertise in the spotlight

Reporting to the Director of Commercial Operations, you will hold the position of Administrative Coordinator for Commercial Operations, overseeing merchandise, catering, concierge services and the VIP Experience. Your responsibilities include inputting all touring show data and providing essential support to all projects and activities carried out by the Commercial Operations department. This role will provide you with a comprehensive understanding of the complete inventory management process.

Responsibilities:

- Adjust previous day daily sales as required to ensure smooth processing and resolve any sales processing issues.

- Coordinate and execute all weekly inventory movements in SAP, including damaged items, losses, returns to suppliers and other deductions such as gifts and PR items.

- Establish inventory procedures and coordinate inventory calendar. Provide support to the team throughout the process and make necessary adjustments in SAP.

- Prepare, coordinate and ensure accurate and timely movement of data in SAP systems from one market to another, ensuring smooth processes between legal entities and countries.

- Receive invoices into our system and apply appropriate coding.

- Take action on all pending purchase orders, ensuring they are closed on time.

- Follow up with Tour, Suppliers, Accounts Payable and Finance to resolve outstanding invoicing issues promptly.

- Coordinate the flow of information between the tour and head office. Engage in proactive communication with all relevant parties to facilitate smooth operations.

- Collaborate with relevant teams to execute SAP-related activities and processes, actively participating in their improvement and optimization.

- Upload all sales prices for catering and merchandise into SAP.

- Create all promotions in the POS system.

- Create template documents in Excel to facilitate the transmission of information.

- Closely monitor the progress of all pending files.

- Maintain organized and up-to-date documentation.

- Provide key administrative support to tours.

- Demonstrate a comprehensive understanding of the complete inventory management process to immediately resolve and process all necessary actions.

- Assist other departments by performing administrative tasks on various projects, fostering a collaborative and cross-functional work environment.

You possess the following professional and technical skills:

- College diploma (DEC)

- 2 years\' experience in inventory management

- In-depth knowledge of SAP or a similar program.

- Strong organizational skills, curiosity and flexibility.

- Interpersonal skills and ability to work effectively with others.

- Knowledge of MS Office environment, proficiency in Excel and PowerPoint, as well as design software.

- Fluency in written and spoken English and French.

- The nature of this role may require occasional weekend availability to meet touring needs. Candidates must be prepared to work flexible hours to ensure successful completion of tasks and projects. For example, during international transfers or show premieres that fall on a weekend, your availability may be required to contribute to the smooth running of our events.
