The opportunity:

  • The Regional Property Management Coordinator reports to the Principal, Property Management and works with a senior management team that provides support for office and industrial assets at a level consistent or above market standards for the BentallGreenOak managed properties in the GTA.

What you will do:
  • Embrace and pro-actively support BentallGreenOak’s culture of environmental sustainability, and corporate and social responsibility.
  • Working Closely with Office Services, provide support / administrative assistance for Vice Presidents, Principals and Directors Property Management as required
  • Assist in preparation and distribution of regional service tenders and initiatives
  • Portfolio and property level performance analysis and the development and preparation of client presentation materials.
  • Assist in preparation and distribution of monthly and quarterly reports to clients both in hard copy and through Web based publishing.
  • Assist in maintaining group portal sites to ensure they are updated in a timely manner and organized
  • Providing support with regards to the annual internal audit
  • Produce and review monthly financial statements at the property level to track and analyze performance (NOI, Vacancy, AR etc)
  • Proactive tracking and follow up of departmental tasks as assigned, i.e. receipt of all property tax bills.
  • Assist in preparing annual business plans; operating and leasing budgets; and quarterly client reports.
  • Coordinating meetings, conference calls and travel arrangements for property management group.
  • Tracking of attendance, vacations and education support for regional group.
  • Organizing / booking department functions
  • Provide general administrative tasks/ support for regional group as may be assigned from time to time
  • Exercise tact and diplomacy in responding to inquiries from employees, managers and external clients.
  • Participate in property level discussions and meetings to expand knowledge of real estate asset management.
  • Other duties as required.

Who you are:
  • University degree or college diploma
  • 2-4 years related experience or relevant high level administrative experience is an asset
  • Experience in real estate operation an asset
  • Relationship Skills - Ability to communicate effectively, both oral and written; strong presentation skills, ability to develop and sustain cooperative working relationships with other staff and management, tenants and the public; ability to exercise confidentiality
  • Organizational/Multi-Task Skills - Ability to allocate one's time effectively, work under pressure and manage tight deadlines; ability to handle multiple demands and competing priorities; ability to new ideas and constant changes; ability to work independently and part of a team
  • Computer Skills – Advanced knowledge of Word, Excel, Microsoft office and Adobe writer, with advanced proficiency in spelling, punctuation and grammar.
