We are currently hiring for the position of:
COORDINATOR, PARTNERSHIPS
This role provides vital project coordination and administrative support across the Partnerships team, ensuring seamless execution of partner obligations, events, and internal processes. It plays a key role in both year-round and festival-specific initiatives, helping to streamline operations, maintain high-quality stewardship, and support cross-departmental collaboration.
RESPONSIBILITIES:
Shall include but not be limited to:
Support the development, documentation, and implementation of internal processes, SOPs, and administrative workflows.
Assist with the creation and distribution of Welcome Kits, email reminders, and partner-facing templates.
Assist with coordinating and tracking content capture requests and other deliverables for partner fulfillment.
Provide administrative support to Account Managers, including note-taking, partner tracking, and execution of obligations.
Lead coordination of Festival materials such as sampling items, partner passes, lanyards, and seat covers.
Support TIFF Festival ticketing, including partner allocations and internal requests.
Lead planning and execute key partner events (Kick-Off and Appreciation), including RSVPs, venue coordination, and on-site support.
Assist with the planning and logistics for the annual Consortium event, including support event logistics and guest management (i.e. RSVP lists, invitations, surveys, coordination).
Lead year-round stewardship strategies, including package mail-outs and partner crediting.
Lead with team recognition strategies (i.e. birthdays, anniversaries).
Manage the creation, review, and tracking of CPs, invoices, POs, and approval processes.
Oversee partner-facing deliverables like the Programme Book, signage sign-offs (deadcards), and website audits.
Maintain and update internal tracking tools, including Trello boards and critical paths.
Coordinate year-round ticketing requests and manage distribution through the TLB system.
Serve as department liaison for various internal stakeholders, including Finance, IT, Facilities, SMT, and TIFF Shop.
Act as lead for internal roles, including but not limited to inbox management and team gift coordination.
Support long-lead organizational initiatives and provide backup for larger departmental projects as needed.
Support new business efforts by assisting with prep, tracking, and communication needs.
Perform other duties as assigned.
Job specific skills
2-3 years of experience in project coordination, event planning, partnerships, or administrative support, preferably within the arts, nonprofit, or events sector.
Strong organizational and time-management skills with proven ability to manage multiple priorities and meet tight deadlines.
Excellent written and verbal communication skills, with attention to detail and a proactive, solution-oriented mindset.
Proficiency in Google Workspace and project management tools (e.g., Trello); experience with ticketing or CRM systems is an asset.
Ability to work both independently and collaboratively in a fast-paced, team-oriented environment.
Strong administrative skills, including note-taking, inbox and calendar management, invoice and PO processing, and file organization.
Exceptional attention to detail and accuracy, particularly in tracking deliverables, preparing documents, and maintaining internal documents and timelines.
Flexible and solutions-focused, with the ability to adapt to shifting priorities, troubleshoot issues in real-time, and stay calm under pressure, especially during high-volume periods like Festival.
Flexibility to work extended hours during peak periods, such as the Festival time.

JOB GRADE & SALARY:
Job Grade 1
Annual Salary: $45,000-$53,000
WORK LOCATION:
Office Location: 350 King Street West, Toronto, ON M5V 3X5
Weekly in-office requirements:
+ Minimum 2 days (November to May)
+ Minimum 3 days (June to October) Festival Office Requirements: Full Time during Festival
MINIMUM REQUIREMENTS:
Adaptable to a flexible work schedule including some evenings and weekends
This position requires being in office on a regular basis.
