Collections Coordinator & Office Administrator (on Site)

About the Role:



Bell Alliance LLP is looking for a detail-driven Collections Coordinator who is comfortable owning a proactive outreach cadence (email + phone), tracking follow-ups in Excel, and suggesting strategies to improve recovery rates, while also pitching in with day-to-day office administration to keep the team running smoothly. This is a fully in-office role due to client-facing and administrative duties.

This is a great fit for someone with some hands-on collections experience who is organized, professional, and confident communicating with clients.

What You'll Do:



Collections (primary focus)

Manage and prioritize an A/R follow-up queue; run a consistent email/phone cadence and document every touchpoint in Excel. Identify reasons for delay, offer clear next steps, and escalate thoughtfully where needed. Recommend tweaks to scripts/cadences and flag patterns or risks to the team. Collaborate with billing and lawyers to resolve disputes quickly and professionally.
Office Administration (secondary)

Prepare basic reports and help with routine admin tasks and e-filing/scanning. Support reception as needed (greet clients, route calls, coordinate outgoing/incoming mail). Assist with simple real-estate admin tasks like depositing client funds nearby and sending post-closing confirmations.

Requirements



1 - 3+ years in collections, accounts receivable, or client-facing admin with measurable follow-up ownership. Confident, courteous phone manner; crisp, professional writing for email follow-ups. Strong Excel skills (filters, sorting, simple formulas). Organized, reliable, and comfortable working with confidential information. Comfortable working on-site full time Nice to have: experience in professional services (legal/financial/health), CRM or collections tools, and drafting/updating outreach templates.
