About the Role



Black Bow Gift Co. is seeking a highly organized

Client Experience & Studio Operations Coordinator

to support daily order flow, client communication, and studio operations. This role is ideal for someone who enjoys variety -- balancing administrative responsibilities with hands-on involvement in a creative, detail-driven studio environment.

While this role does not involve designing or assembling gifts, it plays a critical part in ensuring gifts move accurately, efficiently, and beautifully through the studio. You will help ensure orders leave on time, meet our high standards, and align with client expectations.

Key Responsibilities:



Client Experience & Administration



Respond to client inquiries by phone and email with warmth and professionalism Confirm personalization details, delivery instructions, and timelines Write client cards and messages with accuracy and care and client instructions Prepare quotes, invoices, Shopify updates, shipping labels, and follow-up communications Maintain accurate client, order, and inventory data Support administrative tasks such as updating spreadsheets, notes, and task systems

Order Flow, Quality, and Studio Coordination



Ensure gifts move through the studio on schedule and in alignment with client expectations and internal quality standards Oversee the directional flow of activity in the studio -- ensuring orders are pulled, staged, QC'd, packed, and ready for courier pickup in a timely and organized way Monitor daily timelines and identify risks or delays early, making sure the right tasks are prioritized Provide respectful, constructive feedback to the gifting team when corrections are needed (presentation, accuracy, or instruction-based), without acting as their manager Communicate all personalization details, special instructions, and client requirements clearly so the studio team can execute accurately Raise red flags when information is missing, when orders need clarification, or when a timeline is at risk

Shipping, Logistics, and Studio Operations



Pull and stage products for orders, ensuring accuracy before they move to gift assembly Pack completed gifts with precision for shipping or local pickup Prepare shipping materials and coordinate courier handoffs Receive and unpack incoming shipments; restock shelving and maintain product displays Support inventory counts, organization, and product rotation Maintain a clean, organized, and efficient studio workspace Assist with small Shopify updates, support business growth activities, website product support, and workflow improvements on quieter days

Schedule and Compensation



Full-time, in-studio role Pay: $19-$25 per hour, depending on experience and skill set Opportunity to grow within a fast-paced, expanding Canadian gifting company
