We are seeking a highly organized and motivated individual to join our team as a Client Experience Specialist/Youth Event Coordinator. This position is responsible for coordinating youth and studio events, assisting with youth programs, and supporting the Wellness Director with program logistics. In addition, this role provides front-line client support and general administrative assistance to ensure a welcoming and professional experience for all who interact with our studio. The ideal candidate is outgoing, detail-oriented, and comfortable using technology to assist with event promotion, client communication, and office tasks. While direct youth experience is an asset, it is not a requirement, as this role is primarily focused on planning, organization, and client engagement.
Key Responsibilities:
Plan, and organize youth events, studio events, and special programs.
Assist the Wellness Director with youth program planning, scheduling, and communication.
Manage event logistics including booking spaces, preparing materials, and overseeing registrations.
Provide front desk support by greeting and guiding clients, answering phone calls, and responding to emails in a timely and courteous manner.
Assist with scheduling, data entry, filing, record keeping, and other general office duties.
Support event promotion using social media, digital tools, and basic marketing strategies.
Serve as a welcoming and professional presence at events, engaging with participants, families, and visitors.
Collect participant feedback and contribute to program and service improvement.
Support special projects and initiatives as required.
Maintain an organized, professional, and client-friendly office environment.
Qualifications & Skills:
Strong organizational and time management skills with the ability to handle multiple priorities.
Outgoing, approachable, and confident in engaging with a variety of people.
Excellent verbal and written communication skills.
Proficiency with technology, including Word, Excel, and familiarity with social media and basic marketing tools is preferred.
Experience in event planning, program coordination, administration, or customer service is an asset; experience working with youth is a bonus but not required.
Self-motivated, enthusiastic, and proactive.
Ability to work independently and as part of a team.
Flexible and adaptable to changing needs, with availability for some evenings and weekends as required.
Work Environment:
This position involves a combination of office-based administrative work, front desk client support, and on-site event coordination.
