Position: Client Experience Coordinator
The
Client Experience Coordinator
works within the Client Experience team to represent Excite Lethbridge's brand as the
front-line champion
for clients and guests.
This role requires a
solution-focused, independent thinker
with exceptional customer service skills. You'll collaborate with a team of event professionals, ensuring every client's vision is not only achieved--but exceeded.
As the client's primary point of contact, you'll play a critical role in the
planning, coordination, and execution
of events while ensuring every guest enjoys an unforgettable experience.
Qualifications
Education & Experience
Post-secondary Diploma, Certificate, or Degree, or a combination of education, training, and relevant experience.
Experience in event planning, promotion, and execution is an asset.
Previous experience in sales, entertainment, or the events industry is considered an asset.
Hands-on event experience is an asset.
Knowledge, Skills & Abilities
Strong problem-solving and critical-thinking skills.
Excellent organizational and task-management skills.
Outstanding customer service and communication abilities.
Ability to remain calm under pressure and manage stressful situations.
Proven track record of managing multiple priorities within tight deadlines.
High attention to detail and strong time-management skills.
Proficiency in Microsoft Excel, Word, Outlook, databases, and internet tools.
Knowledge of the event and entertainment industry is an asset.
Experience with event management software and CRM platforms is an asset.
Other Requirements
Must be able to obtain and maintain a satisfactory Criminal Record Check for the duration of employment.
Key Work Activities
As a member of the
Client Experience Team
, the Coordinator will:
Play a lead role in coordinating and executing assigned events.
Act as the main point of contact for clients before and during events.
Facilitate effective communication by phone, email, and in-person meetings.
Build and maintain strong relationships with clients and stakeholders.
Manage event details, including contracts, quotes, floor plans, invoices, and reporting.
Input client requests into event management software (setups, catering, services, staffing).
Coordinate event setup and execution with Operations and Food & Beverage teams.
Oversee financial aspects of events, including deposits and final payments.
Generate pre-event and post-event reports.
Participate in multi-departmental and team meetings.
Transition seamlessly between different event spaces, multitasking under pressure.
Perform additional duties as assigned by the Manager, Client Services.
Working Environment
Full-time role (Tuesday-Saturday schedule).
Flexibility required--work hours will include evenings and weekends based on event schedules.
Eligible to bank overtime hours with manager approval.
Primary workplace:
Lethbridge Trade & Convention Centre
and other Excite Lethbridge venues.
Must be physically mobile, able to walk long distances, and remain on your feet for extended periods.
Daily use of event management software and radio communication.
