Overview:
The Event Coordinator's main responsibility is to assist and execute all aspects of event planning and complete successful event execution as per the owners' quality standards and client contractual vision.
Both Food & Beverage knowledge plus professionalism, communication, organization, and consistency in client, community, employee, and vendor relationships are required. Pleasing customers by providing the best guest experience.
Creative and organizational ability to complete day-to-day catering service deliveries, set-ups, and tear downs in a professional and timely manor With minimal supervision.
Coach, motivate, and manage permanent and casual event staff.
In addition; overseeing inventory and the ordering of event supplies, decor, and rentals ensuring the highest guest satisfaction and providing an appealing hospitality experience.
The Event Coordinator reports and works directly with the Managing Director and Owners.
I/ Key Job Tasks of Event Coordinator
Planning
Accurately execute client Contracts.
Capable of following event planning aspects, such as venue, seating, menu, timelines, and guest services, anticipating and planning for different scenarios.
Deliver and organize corporate catering services.
Avoids legal challenges by conforming to the regulations of the alcoholic beverage commission.
HR Responsibilities
Employee development and training.
Efficient scheduling and time management.
Policy development and compliance.
Employee relations and empathy.
Production and QC
Coordination of events on the day of, including problem-solving, welcoming guests, directing and executing event set-up, communicating with staff, and organizing.
Maintain guest satisfaction by monitoring, evaluating, and executing food, beverage, and service offerings; initiating creativity; building relationships with clients.
Direct and oversee site activities and personnel.
Oversee and ensure high safety standards at all times.
Oversee and/or ensure proper food handling, general cleanliness, and maintenance of client spaces, kitchen, and dining areas.
II/ Job Specification of Event Coordinator
1. A minimum of five years of experience in Catering & Hospitality.
2. Proven skills or qualifications in Catering Services & Event experiences.
3. Demonstrated ability to work in a proactively diverse and inclusive organization.
4. Excellent proven interpersonal, verbal, and written communication skills.
5. Demonstrated ability to work effectively in a team and motivation.
6. Effective problem-solving and mediation skills.
7. Demonstrated ability to share skills and knowledge with others.
8. Proficiency with office computer equipment and printer.
9. Demonstrated ability to multi-task, self-start, and work in an ever-changing, fast-paced setting.
10. Proven ability to cope with fast paced working environment, stress, and changing situations.
11. Physical requirements include but are not limited to the ability to stand for long hours, heavy lifting, event furniture, and equipment set-up and takedown.
12. Post Event duties such as rental return, equipment storage, small wares, glasswares, and disposable supplies are stored and organized correctly.
Job Types: Part-time, Permanent
Pay: $22.00-$25.00 per hour
Expected hours: 15 - 30 per week
