The Customer Care Receptionist is the first point of contact for clients and patients, providing exceptional service and support at the reception desk. This role is responsible for welcoming clients, managing appointments, handling inquiries, and ensuring a smooth flow of communication between clients and the veterinary team. The ideal candidate is friendly, organized, and thrives in a fast-paced environment.
Key Responsibilities:
Greet clients and patients warmly, creating a positive first impression.
Answer phones and emails promptly and professionally; route messages to the appropriate staff.
Schedule, confirm, and update appointments accurately; focus on future booking
Check clients and patients in and out, ensuring all required information is collected and up to date.
Process payments, invoices, and estimates with accuracy.
Educate clients about hospital services, preventive care, and follow-up procedures as directed by the clinical team.
Maintain reception and waiting areas in a clean, welcoming, and organized state.
Support smooth communication between clients, technicians, and veterinarians.
Respect client confidentiality and handle sensitive information appropriately.
Assist with administrative tasks such as filing, scanning, and data entry as needed.
Contribute to a positive, collaborative work environment and uphold the hospital's standards for client care.
Qualifications & Skills:
Previous customer service or reception experience (veterinary, medical, or hospitality preferred).
Strong communication and interpersonal skills.
Ability to multitask and remain calm under pressure.
Comfortable working with computers, scheduling systems, and payment processing tools.
Professional, compassionate, and client-focused demeanor.
Flexibility to work evenings or weekends as needed.
Physical Requirements:
Ability to sit, stand, and move between reception and other areas for extended periods.
Comfortable around animals and able to assist with safe handling when needed.
