Job Overview


We are seeking a professional and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing excellent customer service and administrative support. This role requires strong communication skills, proficiency with office software, and the ability to manage multiple tasks efficiently. Experience in medical or dental office settings is a plus, but not mandatory. The Receptionist will play a vital role in maintaining a welcoming environment and ensuring smooth daily operations.

Responsibilities



Greet visitors and clients in a courteous and professional manner Manage multi-line phone systems, directing calls appropriately Schedule appointments and maintain calendars using Microsoft Office and Google Workspace tools Perform data entry with accuracy, updating records in QuickBooks or relevant databases Handle incoming and outgoing correspondence, including filing and document management Assist with administrative tasks such as proofreading, typing, and organizing documents Support front desk operations by managing patient or client check-ins and check-outs Maintain a tidy reception area to promote a welcoming atmosphere Provide customer support by addressing inquiries promptly and professionally Perform basic bookkeeping tasks related to office expenses or billing as needed

Skills



Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Strong computer skills with experience in data entry, filing, and document management Excellent phone etiquette with experience handling multi-line phone systems Previous clerical or administrative experience, preferably in medical or dental offices Knowledge of QuickBooks or bookkeeping software is advantageous Exceptional organizational skills with attention to detail and accuracy Ability to multitask efficiently in a fast-paced environment Strong customer service skills with a friendly and professional demeanor Proofreading and typing skills to ensure error-free documents Ability to adapt quickly to new software or procedures as needed
