This position plays a key role in the smooth and efficient operation of the company's financial and administrative functions within a unionized Canadian environment. The successful candidate will be responsible for overseeing and managing all aspects of payroll processing, accounts payable, and general office management, ensuring compliance with relevant Canadian laws, regulations, collective agreements, and internal policies.
Duties and responsibilities
Payroll:
Oversee and manage the full payroll cycle, ensuring accurate and timely processing for all employees, including those under collective bargaining agreements.
Administer and manage various benefit plans (e.g., RRSP, group insurance benefit plan), including processing and reporting requirements.
Ensure compliance with Canadian federal and provincial payroll legislation, including CRA reporting and tax filing requirements (e.g., T4/T4A slips, T1 forms, ROEs, etc.)
Maintain confidential employee files, including time sheets, payroll data, and benefit information.
Address employee inquiries regarding payroll and benefits in a timely and professional manner.
Manage onboarding process.
Interpret and apply relevant provisions of collective bargaining agreements regarding pay and benefits. Prepare union reporting.
Accounts Payable:
Oversee the full accounts payable cycle, including receiving, verifying, and processing invoices for goods and services.
Ensure transactions comply with company policies and procedures and that payments are processed within established time limits.
Maintain accurate accounts payable ledger and vendor files.
Reconcile vendor statements and resolve discrepancies in a timely manner.
Assist with preparing audit materials and special reports as needed.
Develop and implement process improvements to streamline accounts payable workflows.
Office Management:
Manage and administer general office operations and services, ensuring a smooth and efficient work environment.
Oversee facility and equipment management, including maintenance and repair requests.
Coordinate with IT and other departments for office-related needs.
Maintain office supplies and inventory.
Provide administrative and clerical support to management and staff as needed.
Manage communications and address internal inquiries as required.
Qualifications
Post-secondary education in accounting, business administration, human resources, or a related field is typically required.
Payroll Compliance Practitioner (PCP) or Certified Payroll Manager (CPM) certification is highly desirable.
Proven experience (3-5+ years preferred) in full-cycle payroll processing in a high-volume and complex environment, including experience in a unionized setting.
Strong understanding of Canadian payroll and labor laws (federal and provincial), tax regulations, and collective bargaining agreements.
Knowledge of accounting principles and practices.
Experience in accounts payable management, including invoice processing, payment approvals, and reconciliations.
Proficiency in payroll software and accounting applications (e.g., Sage 300).
Excellent organizational skills, attention to detail, and ability to manage multiple priorities and meet deadlines.
Strong analytical and problem-solving skills, with the ability to identify and resolve payroll and accounts payable discrepancies.
Effective verbal and written communication skills to interact with employees, vendors, and management.
Demonstrated ability to maintain confidentiality concerning financial and employee information.
Working conditions
Office-based environment in St. Catharines, Ontario office
May involve periods of high workload, particularly to meet payroll requirements
Strict adherence to deadlines is often required.
Job Type: Full-time
Pay: $80,000.00-$95,000.00 per year
