Finance and Office Manager.



General Accountability:



The Finance and Office Manager ensures the efficient and timely operation of the office, supporting and enhancing the overall work of the organization. This role is responsible for fiscal management and administrative stability, while ensuring consistency and accuracy across all projects. The position oversees financial record-keeping, payroll administration, budget preparation, and reporting, and provides administrative support to staff to ensure smooth day-to-day operations.

Duties and Responsibilities:



Financial Coordination



Utilize Sage 50 (Simply Accounting) to prepare and maintain financial records for CCNL, Canada Revenue Agency, government departments and agencies, auditors, community partners, and other funders as required. Complete day-to-day journal entries, financial statements, ROEs, TD1s, T4s, T4 Summary, HST filings, payroll summaries, bank reconciliations, cheque disbursement journals, and other financial functions. Perform payroll duties for all permanent, non-permanent, temporary, and contractual staff; actively participate in the acquisition, organization, and maintenance of payroll records. Collaborate with the Executive Director and appropriate staff to prepare and manage organizational and project budgets. Prepare and submit financial reports to funders in accordance with funding agreements and contracts, maintaining an active schedule of reporting deadlines. Maintain charitable status records, issue receipts, and complete the annual charitable status report. Liaise with auditing firms, prepare audit information, and process adjusting entries to ensure compliance and accuracy. Coordinate purchasing of office materials, equipment, and supplies within approved budgets, consulting with the Executive Director and staff to meet organizational needs.

Administration Coordination



Respond to general inquiries about CCNL in a professional and timely manner. Monitor and forward emails, distribute incoming mail, develop and maintain shared mailing lists, and act as the front-line receptionist. Manage office equipment and supplies, including acquisition, maintenance, and inventory. Coordinate administrative support for programs and projects, including record-keeping, filing, report preparation, WorkplaceNL reporting, and distribution of program information and employment packages. Support job placement activities, including posting job ads, organizing applications, scheduling interviews, and coordinating offers. Collaborate with others as needed. Assist with coordination and distribution of Letters of Understanding (MOUs), contracts, invoices, and other documents, ensuring completeness and proper filing. Provide logistical and administrative support for programs, special projects, and events (staff training, workshops, partner thank-you events, corporate recognition events). Assist the Executive Director in preparing and circulating materials for Board meetings, support meeting logistics, prepare financial updates, and record/distribute staff meeting minutes. Maintain and organize electronic files, contact databases; develop and update grouped email listservs and distribute information in compliance with privacy and anti-spam legislation.

Qualifications



Education & Experience



Formal training in office administration, accounting, or business administration, or equivalent business experience. Knowledge of bookkeeping, financial project management, and generally accepted accounting principles (GAAP). Experience with non-profit financial management is considered an asset.

Technical Skills



Exceptional computer skills with proficiency in:

Gmail, Google Drive, Google Docs, Sheets, Slides Sage 50 (Simply Accounting) and Payworks Google Calendar and Google Meet Microsoft Office (Word, PowerPoint, Excel, Access) Adobe Acrobat

Interpersonal & Organizational Skills



Excellent interpersonal skills and sound judgment. Strong organizational skills with the ability to manage multiple tasks and prioritize work effectively. Ability to establish and maintain office procedures and practices.

Other Requirements



Valid Class 05 driver's license and full-time access to a vehicle with appropriate insurance (asset). Satisfactory Certificate of Conduct/Vulnerable Sector Check (RNC) or Criminal Record/Vulnerable Sector Check (RCMP).

Location & Compensation:



The Finance and Office Manager position is based at the CCNL head office in St. John's, NL, with the primary workload in an office environment, serving as the frontline contact during regular operational hours. The role follows a standard 35-hour work week, with occasional evenings and weekends as required to support program activities. There is the option, from time to time, to work remotely in a hybrid arrangement, as approved by the Executive Director. CCNL offers a competitive compensation and benefits package.
