As the Administrative Assistant, you will provide administrative support to the Information Management Division (IMD) which includes the Executive Director. This position requires a highly motivated individual to provide advanced reporting and administrative support. The successful applicant will be assigned various work tasks in a fast-paced team environment where priorities change frequently. Primary duties include:

Liaise daily with the Information Management Division Executive Director, manage calendar, document initiatives, and prioritize the needs of the respective teams. Prepare agendas, coordinate, attend and meetings, transcribe and circulate meeting minutes, and monitor assigned tasks on behalf of the Divisional Leadership. Compose, collate, and edit correspondence. Delegate tasks on behalf of the Divisional Leadership. Assess the importance of incoming correspondence and documentation, and ensure timely and appropriate distribution. Manage and monitor incoming matters, identifies sensitive issues, and promptly escalate them to management. Contact and liaise with sworn and civilian members via written communication, in-person, and phone support. Process overtime records, leave requests, and other time related documentation for the Division ensuring accurate submission to Payroll. Maintain electronic office filing system in CPS Content Server including: records retention, Information Security Classification (ISC) guidelines, and information retrieval and destruction. Utilize online system to procure and manage inventory supplies for the Division. Deliver office mail, order supplies, maintain office machines, filing, and other related duties and projects.

Qualifications



A High School diploma or equivalency (e.g., GED.) plus job related coursework and a minimum of 5 years related administrative experience; OR. A Business Administrative certificate or diploma equivalent to 1-year full-time study and a minimum of 3 years related administrative experience. Intermediate typing, proofreading, and Microsoft Office skills (Word, Excel, Outlook, and PowerPoint) are required. Preference will be given to applicants who have previous experience using InTime and Peoplesoft Financials and Supply Chain Management (FSCM). Previous experience working in a law enforcement or police service environment is considered an asset. The successful candidate must be able to demonstrate the following competencies: excellent communication skills, efficiency, and thoroughness, focus on results, relationship building, service orientation, stress tolerance, and team building skills.

An enhanced security clearance will be conducted. Successful applicants must provide proof of qualifications. Education obtained from out of country must have or be able to obtain, an Educational Credential Assessment (ECA) for confirmation of equivalent credentials.

Days of Work: This position typically works a 5 day
work week with 1 day off in each 3 week cycle.
