About This Opportunity:

GS1 Canada is looking for someone to redefine executive support. Reporting to the President, the Business Manager enables the day-to-day management routines that enhance the effectiveness of the President of GS1 Canada. This involves anticipating and removing barriers the President encounters in super serving our subscribers. Facilitating GS1 Canada's culture of inclusive collaboration, the Business Manager serves as a liaison and a relationship manager between internal and external stakeholders, including cross-functional departments, employees, association partners, subscribers and other strategic partners.

Working beyond the expected administrative duties associated with executive support, the successful incumbent will be a proactive self-starter and strategic multi-tasker, identifying opportunities to increase the effectiveness of the President's office by enabling capacity to focus on critical strategic priorities while protecting and promoting the President's open-door policy with employees at all levels whilst maintaining the highest level of confidentiality always.

What You'll Do:
  • Understand the President's commitments and responsibilities; anticipate what requires preparation and provide it in the appropriate format and always maintain the highest level of confidentiality
  • Foster accountability, maintaining a system to ensure requested deliverables meet agreed upon deadlines including coordination of the executive team
  • Research, prioritize, and follow up on incoming issues and concerns addressed to the President, including those of a sensitive or confidential nature, such as managing the executive budget. Determine appropriate course of action, referral, or response
  • Provide a bridge for smooth communication between the President's office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management and staff;
  • Provide comprehensive support functions for the President, including: communications coverage, travel coordination, processing expense reports and invoices
  • Manage, prioritise and maintain the President's calendar, requiring interaction with various of stakeholder to coordinate a variety of complex meetings
  • Independently create, edit, and/or prepare presentation materials and reports for subscribers, Board of Governors, and similar audiences at the direction of the President
  • Prioritize conflicting business requirements; handle matters expeditiously, proactively, make improvements to processes to increase effectiveness and follow-through on projects to successful completion, often with deadline pressures (e.g. enterprise wide initiatives, events, etc.)
  • Serve as back-up for administrative absences of other key senior executives as required. Play an informal leadership role in bringing together other executive assistants, including training and coordination of activities from a centralized support perspective
What You'll Bring:
  • MBA with an undergraduate degree in Public Relations, English, History or Business
  • Strong work tenure: five to 7 years of experience working with and supporting C-Level Executives for a large organization
  • Proficient with communications technology with expert experience in in Microsoft Office (Teams, Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms
  • Demonstrated business acumen and ability to understand complex business issues
  • Proactive learner, working cross-functionally to deliver results
  • Strong organizational skills reflecting the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail and discretion
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, and external partners
  • Exceptional communicator, able to adapt messaging for different audiences and mediums and free from grammatical errors
  • Demonstrates proactive approaches to problem-solving with strong decision-making capability
  • Emotional intelligence and maturity
  • Posses and model a high level of integrity in all matters, doing the right thing
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment, holding self and others accountable for delivering
