Historic Restoration is a leading Toronto based restoration contractor. We focus on the restoration and alternation of historic masonry building and structures and provide a group of additional related services including wood restoration, ornamental and heritage plaster, sculpting, carving and painting. As an example of the quality of our work, we received the Award of Excellence from Heritage Toronto for our work at 8-10 Market St. More and bigger projects keep coming our way so our Office/Accounting Manager needs a Project Administrator and Accounting Assistant to help make sure those projects are running smoothly, our people are where they need to be and that costs and revenue are being accurately recorded. This role might be best described as a combination Project administrator and bookkeeper and could appeal to someone with experience and interests in either of these areas. Please Note: Given the kind of business we\xe2\x80\x99re in and the style of our office environment we\xe2\x80\x99re looking for someone who will enjoy being in the office 5 days/wk. (Our address is 465 Leslie St. in Toronto) Responsibilities:

  • Set-up and maintain projects and project files
  • Coordinate compilation of quotes based on estimates produced by salespeople
  • File electronic records; organizing and maintaining database in Salesforce
  • Enter quotes, scan documents, organize and file project related documentation
  • Support construction teams with the scheduling and coordination of projects
  • Keep projects on track by setting up project tasks and monitoring their execution
  • Time entry for project staff
  • Prepare invoices using QuickBooks
  • Perform monthly bank reconciliation and other accounting duties
  • Communicate with clients, trades and colleagues; preparing and controlling correspondence
  • Update clients on construction progress through schedules
  • Generate periodic project status reports
  • Reviewing and analyzing reports and summarizing information and trends for management
  • Place orders with suppliers, update database, schedule meetings
  • Track Safety Certificates and Expirations
  • Other duties as requested
Qualifications:
  • Education in Accounting and/or Business Administration
  • 2 years bookkeeping experience using QuickBooks.
  • Some practical experience in an admin or accounting role in the construction industry
  • Organizational and problems solving skills
  • Strong, outgoing Interpersonal and communication skills
  • The ability to stay focused on priorities in a fast-paced environment
  • High attention to detail, good time-management and organizational skills.
  • Experience with Microsoft Office, Outlook and Salesforce or other CRM tool
  • A positive attitude
