  • Regular Full-time - 37.5 hours/week (includes some evenings, weekends and statutory holiday)
  • Commencing September 2022
Under the direction of the Grandview Children's Foundation (Grandview Kids Foundation/GKF) Executive Director, the Fundraising and Database Administrator will provide support to the Annual Program and Capital Campaign ensuring that we meet and/or exceed our fundraising goals. The Fundraising and Database Administrator maintains administrative and data management systems, provides support to the Board of Directors and related Committees and to the Foundation staff team; participates in education, orientation and public relations as required; maintains a safe work environment; and performs other related duties as assigned.The Fundraising and Database Administrator will mirror the mission and values of Grandview Children's Foundation to the community, volunteers and the children, youth and families we serve. They will be a passionate, positive, enthusiastic, self motivating member of the Foundation team. Specific responsibilities include but are not limited to:Responsibilities: The Fundraising and Database Administrator provides support in the following areas:Database Administration:
  • Update and maintain the Foundation's core database management system and additional fundraising modules, ensuring data accuracy and integrity;
  • Process all donations and prepare cheque/cash donations for deposit on a weekly basis;
  • Work closely with the Finance team to ensure accurate financial and data reconciliation on a weekly and monthly basis;
  • Ensure that all fundraising income is correctly identified and accurately allocated;
  • Coordinate thank you letters, event invoices and all receipting (Non Tax and Tax Receipts); Provide donors with accurate receipts and along with a thank you in a timely manner adhering to the Foundation's Stewardship Guidelines;
  • Ensure all records and receipting are CRA compliant;
  • Provide accurate data analytics and reports to help support and grow fundraising initiatives;
  • Ensure all pledged gifts and signed donor agreements are accurately tracked and maintained;
  • Assist with the preparation of direct marketing appeals by producing data files for mailing, recording income and managing the acknowledgement process;
  • Adhere to Grandview Children's Foundation policies and procedures to ensure all gifts are received and handled appropriately;
  • Will observe strict confidentiality regarding client and donor information.
Fundraising Administration: Support to the Executive Director, Board of Directors, and Board Committees (Executive; Governance Excellence; Finance and Investment Committees):
  • Scheduling meetings, create meeting agenda's and packages;
  • Maintain accurate meeting minutes and all required meeting reports
  • Maintain and post current and accurate information on Board SharePoint;
  • Assists with organizational policy and procedures with a focus on donor privacy and organizational transparency;
Support Executive Director and Foundation staff team;
  • First point of contact for fundraising enquiries by telephone, email and letter, ensuring excellent customer care of current and potential supporters;
  • Provides administrative support for all fundraising initiatives, preparing Donor documents, reports and correspondence as required;
  • Provides Prospect Research support and manages the prospect pipeline to ensure accuracy following the moves management process;
  • In collaboration with the Foundation team develops a list of collateral promotional materials and items required for annual and campaign initiatives.
The Fundraising and Database Administrator will have 3-5 years' experience in a fundraising environment; preference will be given to candidates with experience in a not- for-profit setting; Experience in fundraising software and data base management - Raiser's Edge NXT and Raisin; CFRE credential or working toward certification will be considered an asset.Qualifications:
  • Post-secondary education in fundraising, business or an equivalent combination of formal training and experience.
  • Minimum three years' experience in fundraising and database administration and/or fundraising equivalent.
  • High proficiency with web, social media platforms, Raiser's Edge, MS Office Suite, Google Analytics, InDesign, Illustrator, Photoshop and Adobe Creative Suite.
  • Experience in promotional planning, initiatives, writing, media relations, issues management, related activities;
  • Excellent written and verbal communication skills;
  • Excellent interpersonal skills and ability to work effectively community partners, Grandview kids/families, staff and volunteers;
  • Experience in project / program management and strategic multi-tasking
  • Preference will be given to candidates with experience in a not- for-profit setting
