Who are we looking for?

You are an experienced Project Administrator who is self-motivated and possesses strong organizational skills with the ability to manage time and multiple projects appropriately. You will work closely with Project Leads and team members to ensure projects and deliverables are on time, on budget, and within scope. Working under tight timelines occurs regularly during proposal and project processes. Effective time management, and the ability to establish priorities and target dates are essential.
What you will be doing:
  • Liase with Project Leads to identify and define requirements, scope, and objectives.
  • Work with project management and time tracking software, including but not limited, to MavenLink (Kantata) & Asana to ensure projects remain on track.
  • Create and maintain project administrative tasks within Office 365.
  • Develop and track project deliverables into milestones.
  • Provide assignments to internal teams and assist with schedule management.
  • Monitor project progress, time tracking, and handle any issues that arise.
  • Act as the point of contact and communicate project status to all participants.
  • Update project plans with progress updates.
  • Assist with specific project requirements (including but not limited to: meeting minutes, formatting technical reports, memos and other project documents, performing document control and quality management through the proper filing of online and paper documents, etc.).
  • Ensure all project related reports are accurate and delivered on time.
  • Identify additional tools and templates needed and assist in their development.
  • Ensuring processes and protocols are followed and identifying new ones that are needed.

Skills & Qualifications:
  • 3+ years proven work experience as a Project Administrator or similar role.
  • Project Coordination/Project Management certification or designation will be considered an asset.
  • University Degree or diploma in related field.
  • Experience in project management, from conception to delivery.
  • An ability to prepare and interpret flowcharts, schedules, and step-by-step action plans.
  • Solid communication and organizational skills, including multitasking and time-management.
  • Above-average attention to detail, project coordination, and administrative skills.
  • A strong work ethic and can work with minimal supervision.
  • Proven computer skills including use of Microsoft Office (Word, Excel, and Outlook) such as track changes, inserting captions and cross references.

Your schedule:
Flexible schedules are the norm at Maven; the set hours for technical staff is 9:30am - 3:00pm, Monday to Thursday. Your 40 hours can be carried out in a manner that is efficient and effective for both you and the work needing to be done; however, due to the nature of this position, there may be time where non-typical hours are expected, including responding to emails and messages on evenings and weekends.
There is also the opportunity for some of your work to be done from home or remotely.

Salary Range
$45,000 - $65,000
