We are seeking a highly organized and proactive Personal Assistant/book keeper to support our team in various administrative tasks. The ideal candidate will possess excellent phone etiquette and customer service skills, ensuring seamless communication and efficient operations. This role requires proficiency in word, jobber, excel, quickbooks, and various software to manage daily activities effectively.
Duties
Assist with data entry tasks, ensuring accuracy and attention to detail.
Organize files and maintain an efficient filing system for easy access to documents.
Monthly receipts and cheques to be organized and put into the system
Make sure all CRA related payments are processed and up to date
Social Media manager - creating content for our website & social media platforms.
Running errands for both owners of the company, with daily tasks given.
Provide administrative support by scheduling appointments, managing calendars, and coordinating meetings.
Maintain office supplies inventory and order as necessary to ensure smooth operations.
Using provided templates, fill out property maintance and snow contracts.
Send out documents to any new hires with the employee manual and tax forms.
Collaborate with team members on various tasks, contributing to overall productivity when needed.
Requirements
Mininum 2 years experience as a Personal Assistant or in a similar administrative role.
Minimum 2 years experience as a book keeper
Strong organizational skills with the ability to prioritize tasks effectively.
Strong typing skills - able to type correspondence, tables, emails, contracts, lables, documents, forms, etc.
Excellent phone etiquette and communication skills, both written and verbal.
Familiarity with customer service best practices.
Ability to work independently while managing multiple tasks simultaneously.
Attention to detail and a commitment to maintaining confidentiality in all matters.
