The Bilingual Accounting Assistant (Contract) is responsible for the timely and accurate day-to-day processing of accounting records and accounts payable to ensure efficient, accurate, and up-to-date financial systems. This role performs daily accounting duties and payroll-related HR functions with an emphasis on Accounts Receivable, Collections, Accounts Payable, Payroll, and Customer Interaction.
Essential Job Functions:
Maintain and update customer and vendor account information.
Manage accounts receivable, including customer payment follow-up and proper collections procedures.
Prepare and participate in weekly and monthly accounts receivable status meetings.
Research and resolve payment discrepancies with customers.
Collect, allocate, and post deposits accurately.
Process credits with appropriate authorization.
Match vendor invoices with receiving documentation and investigate discrepancies.
Enter vendor invoices into the ERP system.
Prepare and issue vendor payments.
Maintain accounts payable records and assist with monthly account reconciliations.
Support financial accounting objectives and reporting requirements.
Assist with ad hoc projects assigned by the Controller or other managers.
Provide reception and customer service relief as required.
Maintain records, filing systems, and perform general administrative duties as needed.
Ensure timely processing of hourly and salaried payroll via Ceridian, in compliance with labor regulations.
Input and update employee data in Dayforce (timeclock system), maintaining accurate and current records.
Enter all new hires into payroll and timekeeping systems promptly and accurately.
Maintain HR files, including new hire documentation and other confidential employee information.
Education & Experience Requirements:
College certificate or diploma in Accounting or Business Administration.
Minimum of 5 years' experience in an accounting or administrative role.
Required Skills & Abilities:
Strong attention to detail and accuracy in data entry.
Ability to work with numerical data for extended periods.
Excellent organizational and multitasking skills.
Professional and polite communication with customers and vendors.
Proficient in Microsoft Excel, Word, and Outlook.
Knowledge of financial and accounting software applications (ERP systems preferred).
Ability to work effectively in a fast-paced environment.
Energetic, enthusiastic, and adaptable individual who embraces learning and change.
Bilingual -- fluent in French and English (spoken and written).
