Position: Associate, Operations - Experiential Marketing

Reports to: Manager, Events & Operations

Position Term: Full Time Permanent

Workplace Type: Hybrid (Mississauga, Ontario region)

Job Purpose:

The Associate, Operations - Experiential Marketing supports the successful execution of all operations and logistics for the Experiential Marketing Team, ensuring efficiency and effectiveness in all areas.

The Associate, Operations - Experiential Marketing is responsible for monthly and quarterly reviews of all operational processes, procedures and strategies to ensure maximum efficiencies, and that all operations are carried out in an appropriate, cost-effective way across the Experiential Marketing Team.

The Associate, Operations - Experiential Marketing works collaboratively across the Experiential Marketing Team along with internal teams and stakeholders, building internal relationships to support the execution of all Experiential Marketing Team activities and associated operations.

Duties and Responsibilities:

  • Assists the Manager, Events & Operations with the development and implementation of operational and tactical plans to ensure the operational objectives within the Experiential Marketing Team\'s strategic goals are met and exceeded.
  • Acts as the Procurement subject matter expert for the Experiential Marketing Team, ensuring all contracts, POs, invoices and payments for partners and vendors are executed according to best practices and ensuring SLAs are met and exceeded.
  • Manages the monitoring, tracking and production of effective budgets, schedules, and analysis as well as key operational reports to support the achievement of the Experiential Marketing Team\'s strategic & operating objectives, goals and KPIs.
  • Acts as the subject matter expert for Experiential Marketing Team data management, overseeing and managing all CRM and data tracking and management processes. Ensures that all data is tracked, monitored, entered and processed accurately and that reports are effective and relevant.
  • Assists with the monitoring and maintenance the Experiential Marketing Team budgets & KPI/SLA Reports.
  • Assists Manager, Events & Operations with the development of team operational policies & procedures to support effective execution across the team, identifying trends and assessing opportunities for increased operational efficiencies.
  • Leads the development and implementation of all operational processes and procedures for Experiential Marketing Team warehouse and inventory management, including onsite and offsite storage of assets & resources, fulfillment, and shipping.
  • Considers the needs of external and internal stakeholders and incorporates them into the Experiential Marketing Team\'s operational processes, with the goal of improving the team\'s operational management systems, processes and best practices.
  • Manages and develops relationships with key vendors to support the Experiential Marketing Team\'s operational and logistical needs.
  • Develops new and innovative ways to increase quality of customer service by the Experiential Marketing Team with internal and external partners and stakeholders, ensuring all operations are executed efficiently and to industry standards.
  • Supports the execution of partner trips to the field, ensuring that processes and procedures for trip execution are developed and implemented, and assisting with travel bookings, schedules, and operational & logistical support as required.
  • Assists Manager, Events & Operations with administrative support for the Experiential Marketing Team such as scheduling, calendar invites, etc. to support cross-functional team activities and collaborations.
Qualifications required:
  • Post-secondary education in Business, Project, or Operations Management.
  • Self-starter with 5+ years\' experience in project and/or operational management.
  • Highly skilled at building interpersonal and enhancing corporate relations.
  • Customer-service orientation, bringing best-in-class support to team & WVC partners.
  • Demonstrated ability in project management.
  • Proven experience re-engineering processes and procedures to ensure efficiency and effectiveness.
  • Highly detailed with expertise in databases, reporting and data management.
  • Demonstrated organizational, financial, problem solving, collaboration and communication skills.
  • Experience working in an Agile environment with Agile principles and practices considered an asset.
  • Some travel will be required for this role.
