Job Description


The Assistant Property Manager provides support services to the Property Manager in the overall running of the site office and exceptional customer service to owners, residents, trades and other guests to the building. Essential Duties & Responsibilities \xef\x82\xb7 Prepare notices as needed \xef\x82\xb7 Address resident inquiries with courtesy and professionalism \xef\x82\xb7 Answer phone calls with courtesy, take messages or carry out functions if possible \xef\x82\xb7 Communicate with tradesperson when requested by Property Manager, prepare call summary and include all details for Property Manager \xef\x82\xb7 Obtain mail and distribute accordingly \xef\x82\xb7 Obtain reports from Concierge Desk, highlight anything that requires the Property Manager\'s attention \xef\x82\xb7 Obtain all completed forms for filing, stamped received (i.e. Owner Information Form, Form 5, Tenant Information Form) and send by fax or Email to Accounts Receivable \xef\x82\xb7 Copy Agenda, Managers Report, building inspections and other documents as requested by Property Manager \xef\x82\xb7 Prepare packages for Board Members \xef\x82\xb7 Date stamp invoices and cheques when they are received \xef\x82\xb7 Enter cheques in the income intake report \xef\x82\xb7 Book party rooms and collect money as per policy \xef\x82\xb7 Book elevators for deliveries and moves \xef\x82\xb7 Answer owner\'s inquiries and requests \xef\x82\xb7 Provide Status Certificates Request forms to owners \xef\x82\xb7 Updating Building Information Sheets as needed \xef\x82\xb7 Respond to emergency situations in timely manner \xef\x82\xb7 Other duties as assigned Additional Duties & Responsibilities \xef\x82\xb7 Practice and adhere to FirstService Residential Global Service Standards. \xef\x82\xb7 Conduct business at all times with the highest standards of personal, professional and ethical conduct. \xef\x82\xb7 Perform or assist with any operations as required to maintain workflow and to meet schedules. Notify supervision of unusual equipment or operating problems and the need for additional material and supplies. \xef\x82\xb7 May participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems and maintain specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines. \xef\x82\xb7 Ensure all safety precautions are followed while performing the work. \xef\x82\xb7 Follow all policies and Standard Operating Procedures as instructed by Management. \xef\x82\xb7 Perform any range of special projects, tasks and other related duties as assigned. The ideal candidate will possess a minimum of 1 year of experience in Property Management industry Knowledge, Skills & Proficiencies \xef\x82\xb7 Exceptional time management, organization skills and problem solving \xef\x82\xb7 Excellent interpersonal, phone and Customer Service skills \xef\x82\xb7 Ability to establish strong relationships with owners, vendors, coworkers etc. \xef\x82\xb7 Proficient English speaking and writing skills \xef\x82\xb7 Excellent computer skills \xef\x82\xb7 Proactive problem and solutions recognition \xef\x82\xb7 Excellent customer service skills \xef\x82\xb7 Detailed oriented, organized and have strong time management skills Tools & Equipment Used Computer and peripherals, standard and customized software applications and tools, and usual office equipment. Job Type: Full-time Salary: $45,000.00-$55,000.00 per year Schedule:
