As the Assistant Property Manager, you will work closely with the Property Director in all aspects required in the management of the property asset; a large office complex with a retail concourse on the subway line located in North Toronto.

On a daily basis you will interact with tenants to ensure issues are addressed and resolved as needed. You will collaborate with the Property Director to ensure planned projects are completed as budgeted along with the administration of capital projects. A major component of this position will be to assist with annual operating budget preparation, financial reporting, update of recovery model and the preparation of prebills and year end billings. The ideal candidate will have a strong financial aptitude and advanced knowledge of Excel. This role is a hybrid position with flexibility for partial work at home available as agreed upon by manager.

Job Requirements: Establish and maintain a professional working relationship with tenants, vendors, building security, cleaners and various contractors to assist with the smooth operation of the Property.
Take ownership of specific property initiatives throughout the year.
Collaborate with the Property Administrator to review tenant accounts/new leases, renewals, extensions to ensure that they are properly set up, charges processed, credits applied.
Set up capital jobs, monitoring cost control projects monthly. Process capital invoices for payment. Monitor lease amortization charges and reconcile.
Update year end spreadsheets (recovery model) and prepare all relevant tenant letters and documentation for year-end tenant recoveries. Work with Accounting and Property Director as needed to respond to related tenant inquiries with explanations and backup.
Work with Property Administrator to prepare new rental letters and statements to be mailed to tenants at commencement of each year.
Review rent roll monthly to ensure it reflects all rental rate changes and accurate additional charges.
Work with the Property Administrator to submit monthly accruals
Effectively resolve issues with Real Estate Accounting & Administration.
Provide information as requested for quarterly appraisals.
Assist the Property Director with quarterly report completion which includes variance analysis, A/R and re-forecasting in Yardi.
Assist with annual budget planning and processing. Work with Property Administrator to accurately input budget information, update budget recovery model and ensure that approved changes are appropriately reflected.
Qualifications: Minimum of two to three years\xe2\x80\x99 experience as a Property Administrator or Assistant Property Manager in a commercial property with prior experience that includes familiarity with recovery models, operating statements, accruals, invoice processing, and creation of accounting entries.
Strong desire to develop career in Real Estate Property Management.
University or College degree required; financial/accounting courses desirable. Real Property Administrator designation is an asset.
Working knowledge of MS Office applications Excel required. Experience with Yardi preferred.
Good written English, interpersonal and team communication skills required.
Proven ability to persevere through repeated deadlines and pressure, optimally handling multiple priorities.
Strong influencing and negotiating skills in order to meet deadlines.
Ability for resiliency and adapt to change and take care of difficult and stressful situations in a professional manner.
Aptitude for servicing tenants with the ability to see both the customer\xe2\x80\x99s perspective and the impact on the organization.
