POSITION SUMMARY:
The Administrative Assistant will use their knowledge of pertinent administrative functions to draw on their expertise in the use of office management and analytical software, including spreadsheets, word processing and desktop publishing software, to maintain and manage reports, databases, front line patient/community issues, office supplies and inventories. The incumbent maintains an understanding of JBH's mission and values, operating policies and procedures, health care industry standards and legislative guidelines to facilitate support service activities.
RESPONSIBILITIES:
Management of multiple Director calendar activities
Administrative support for multiple Directors and other hospital leadership as required
Payroll coordination for Patient Care Services department (PCS)
Baseware coding of invoices for payment approval
Admin support for multiple committees, including documenting and distributing meeting minutes
- Coordinate and assist with all PCS moves - computer/phones/office
- Administrative support for Command Centre - Emergency Codes
Preparation of correspondence, invoices, requisition forms, proposals and presentations, reception, mail and office supply maintenance
Information conduit to receive and share sensitive and/or confidential information, respond to queries, answer phones, screening, directing and handling calls as appropriate
Administrative support for maintenance of the Hospital Manual, as well as policies and procedures
Meeting and event arrangements, teleconferencing and audio-visual equipment set up, arranging catering and room set-up requirement
QUALIFICATIONS:
Graduate of a Community College Business Secretarial Program and/or Qualified Administrative Assistant (QAA) certification or equivalent
Scheduling experience including skills to re-prioritize a complex schedule in a fast-paced intensive-workload environment
Five years' current administrative support experience at a senior support level
Medical terminology
Must have excellent computer skills in MS Office Suite (Word, PowerPoint, Outlook, Excel, MS Project, FrontPage, Internet Explorer and Access) and online systems
Strong time management skills to meet deadlines including tracking of incomplete program work, organizational and decision-making skills combined with a strong minute-taking ability and well developed keyboarding skills (60 w.p.m. minimum accuracy).
Flexible and detail oriented with strong organizational and time management skills
Must be able to work as part of a team or independently on projects from start to finish and have exceptional communication skills.
Must be available to occasionally attend meetings early in the morning and/or late in the day.
