About the Role:The Advisory Council Coordinator is responsible for a wide variety of administrative duties in support of four Metis Nation of Ontario volunteer Advisory Councils as well Senator Meetings. Duties include but are not limited to arranging events, fiscal support, paying bills, attending meetings, meeting minute-taking and distribution, arranging travel plans, scheduling appointments and drafting both internal and external correspondence. The Coordinator must be adept at scheduling meetings, managing conflicting schedules, and liaising with other members of the council and senior management. To be successful in this position, the candidate must be detail oriented and results focused, and have a demonstrated ability to multi-task and prioritize in a rapidly changing environment.What you will be doing:
  • Prepare and coordinate electronic agendas, delegation requests, attend meetings, compose minutes as required and correspondence for the councils
  • Review agenda items and ensure all documentation provided with staff reports is complete and accurate
  • Provide direct administrative support to the councils, including calendars
  • Prepare travel schedules, book travel arrangements, and make reservations for the council
  • Coordinate logistics for zoom and in-person meetings, seminars, workshops, special projects, and events
  • Review, evaluate, and distribute priority incoming and outgoing correspondence
  • Facilitate communication between internal and external stakeholders, including the 2-Spirt+ Interim Council
  • Maintain confidentiality, and professionally interact with council members, management, citizens and others at all times
  • Ability to learn and effectively navigate governance and program-related inquiries to the appropriate branches with follow up .
  • Other duties as may reasonably be assigned
Qualifications:
  • Completion of Post-secondary education (in Business or Public Administration or relevant discipline preferred)
  • 1-2 years experience in an administrative role is required
  • Previous experience working with a council is an asset
  • Must possess excellent communication skills, both oral and written
  • Strong skills in Microsoft Office and Outlook are required
  • Strong interpersonal and organizational skills combined with the ability to effectively deal with sensitive and confidential information
  • Requires a high degree of professionalism, competency and interpersonal skills
  • Excellent customer service skills and ability to work with council
  • Highly proficient minute-taking ability and time management skills are required
  • Must be experienced in working within strict deadlines
  • Must be available to attend and support evening meetings as required
  • Must be available to work occasional weekends and travel to support the meetings or events as may be required.
