Purpose of the Role
The Administrator, Client Services will be expected to provide assistance and support for the Collections function, as assigned by the Client Services Coordinators, and under the direction of the Manager, Client Services.
Key Responsibilities
The key responsibilities of this role are:• Assist with completing monthly, quarterly, and ad-hoc reporting requests
• Responsible for recording and advising of client billing and reporting deadlines
• Perform and file AR write offs
• Assist in completing client vendor / onboarding forms
• Assist in investigating unknown payments and reconciliation
• Management of the AR phone line i.e., directing clients accordingly and assisting with credit card payments
• Assist in pulling back up for auditors
• Provide back-up and support to Coordinator, Client Services during busy periods, as required
• Other duties as assigned
Key Competencies• Post-Secondary diploma in Administration, an asset
• Previous experience in a law firm or professional services environment preferred
• Familiarity with or ability to rapidly learn and exposure to similar systems such as: CMS, Expert Collections Platform, SSRS / SQL Reporting
• Understanding of accounting principles as they relate to billing, time and costs, and accounts receivables.
• Proficient in office software: MSWord, MSExcel, Adobe Acrobat, MS Outlook.
• Ability to work well in a team environment, under minimal supervision.
• Good organization skills and ability to work under time pressure.
• Demonstrated ability to pay close attention to detail.
• Excellent interpersonal skills.
• Excellent written and verbal communication skills.
• Ability to work overtime to support month end and year end deadlines.

Principales attributions• Participer a la production de rapports mensuels, trimestriels et ponctuels.
• Consigner les echeances de facturation et de production de rapports et transmettre l'information.
• Executer et consigner les radiations.
• Contribuer a remplir les formulaires d'integration de nouveaux fournisseurs ou clients.
• Aider a retracer les paiements indetermines et a executer les rapprochements bancaires.
• Prendre en charge la ligne telephonique des comptes clients - diriger les clients comme il se doit et s'occuper des paiements par carte de credit.
• Aider a l'extraction de donnees pour les verificateurs.
• Fournir du soutien aux coordonnateurrices, Equipe de service aux clients pendant les periodes occupees au besoin.
• Executer d'autres taches au besoin.
Principales exigences• Diplome d'etudes postsecondaires en administration, un atout
• Experience dans un cabinet juridique ou dans le milieu des services professionnels, un atout
• Connaissance des systemes suivants (ou de systemes similaires), ou capacite a apprendre rapidement a les utiliser : CMS, Module d'Aderant Expert lie au recouvrement, SSRS/plateforme de production de rapports SQL
• Comprehension des principes comptables ayant trait a la facturation, au temps et aux couts ainsi qu'aux comptes clients
• Maitrise de Word, d'Excel, d'Outlook et d'Acrobat
• Capacite a travailler efficacement au sein d'une equipe moyennant un minimum de supervision
• Bon sens de l'organisation et capacite a travailler sous pression
• Capacite demontree a porter attention aux details
• Excellentes habiletes en communication interpersonnelle
• Excellentes competences en communication orale et ecrite
• Disponibilite pour faire des heures supplementaires afin de respecter les echeances de fin de mois et de fin d'annee
The expected salary range for this position is $48,000 - $57,000, depending on level of experience, region/location, and other factors.
