Position Description

Reporting to the Operations Manager, Psychology, Social Work, and Philanthropy Enabled Projects, the Administrative Coordinator will provide high level administrative support to the Department of Psychology. The Administrative Coordinator works closely with the Operations Manager, as well as the Director, Psychology and clinical staff in the Department to coordinate all day-to-day aspects of the Department as well as coordinating and assisting with Departmental projects and initiatives.

Here's What You'll Get to Do



Administration

+ Coordinate clinic administrative functions to ensure efficient operation of the unit, within scope of authority
+ Assist with staffing needs: i.e., payroll, onboarding of staff and trainees
+ Coordinate and organize meetings, record meeting minutes.
+ Provide administrative support to the Director, Operations Manager, and various committees, as needed
+ Assist in the organization, planning and implementation of Psychology Education Symposium working with the Education Committee including coordinating c-vent page, and other needs in planning the symposium (e.g., food ordering, accommodation and travel for speakers, financial and budget management, etc.)
+ Assist the Operations Manager with implementing departmental projects and initiatives, as needed
+ Perform other duties as assigned

Clinical

+ Triage psychology referrals
+ Handle incoming inquiries and responding appropriately
+ Support greeting and registering patients and families that arrive in the Psychology Department, as needed
+ Support pre-screening patients prior to in-person appointments, as needed
+ Support generating Psychology specific patient identifiers, as needed

Finance

+ Prepare requisitions, and processing expense and corporate credit card entries

Inventory Management

+ Manage inventory tracking system by recording when products are received and distributed
+ Review weekly product levels to identify inventory needs

File Management

+ Assist with records management, as needed. This may include handling Release of Information requests, assisting with retrieving or sending files to and from our off-site storage facility, and other related duties.

Here's What You'll Need



Completion of a post-secondary degree, equivalent combination of education and experience, business administration or related field Minimum 3-5 years related experience within a teaching hospital or university setting or comparable educational environment Solid working knowledge of Microsoft office 365, including Word, Excel, PowerPoint, Outlook and Cloud-based programs (SharePoint, etc). Excellent organizational skills and strong attention to detail in completing tasks Superior problem- solving skills and proven ability to manage deadlines in a fast-paced environment with many interruptions and multiple priorities Exceptional interpersonal and communications skills, both verbal and written Exceptional critical thinking and analytical skills with the ability to exercise discretion and confidentiality High level of judgment, tact and diplomacy in interacting with a wide variety of internal and external stakeholders Self-motivation and the ability to demonstrate a high level of initiative Ability to develop creative strategies and participate as a collaborative team member Knowledge of SickKids systems is an asset (EPIC, MyFinance, ExpressNet, etc.) On-site hospital presence on weekdays, as this is a patient-facing role. Demonstrate commitment and actions in advancing equity, diversity and inclusion objectives.
