PiiComm Inc. is an Information Technology firm specializing in the design, sale and support of mobile technologies to empower our business clients to mobilize their staff and optimize their processes. We are looking for a Junior On-Boarding Co-Ordinator to help oversee the planning and implementation and tracking of on-boarding new clients to our Managed Mobility Services.
Key Responsibilities
Maintaining and fostering strong client-facing relationships, ensuring clear communication, effective collaboration, and high levels of client satisfaction.
Collaborate closely with the Sales team to stay informed about new client contracts in the pipeline.
Maintain a strong understanding of internal processes, which are subject to change, to ensure that teams stay on schedule and adhere to the most current procedures.
Coordinate with the Finance and Sales teams to anticipate and address potential scope changes, ensuring that any necessary change requests are identified and implemented before the project exceeds the original contract agreement.
Serve as a key point of contact to develop and maintain strong relationships with both the client and their end clients, providing support and ensuring successful project outcomes
Review contracts and service agreements to ensure all requirements and expectations are clearly defined and understood.
Engage with department leads to coordinate and allocate the necessary resources, develop a schedule for project completion, and identify potential roadblocks that may impact timelines.
Promptly communicate any issues to the necessary parties to mitigate delays and ensure successful project execution.
Ensure that all necessary equipment and supplies have arrived to facilitate the timely start of the project.
Initiate the process of scheduling an initial discovery meeting with the client and relevant stakeholders upon receipt of new contracts.
Work in conjunction with Mobile Device Management team to ensure all expectation of the contract are implemented.
Create and deliver reports outlining project status, progress, and completion to keep stakeholders informed and aligned with project goals
Oversee client onboarding into client portal.
Ensure a smooth handoff to the next line of business.
Perform other duties or responsibilities within the organization as needed.

Possess excellent spoken and written communication skills. Bilingual proficiency in English and French is required.
Demonstrate effective time management skills to prioritize tasks and meet deadlines, while exhibiting self-motivation, initiative, and a positive attitude. Maintain the ability to work independently and collaboratively within a team to drive productivity and contribute to a supportive work environment.
Understand and uphold ethical behavior and business practices, ensuring that both personal conduct and the conduct of others align with these standards and reflect the organization's values.
Proficient knowledge of Microsoft 365 (formerly Office 365), including tools such as Word, Excel, Outlook, PowerPoint and Teams. Some knowledge of Microsoft Project and Visio would be an asset.

Hours of Operation: Monday - Friday, 8:30am - 4:30pm
Reporting to: Our offices are located east of Ottawa in Plantagenet, ON
