Roles and Responsibilities




Reporting to the Senior Manager of Business Development, the Facilities Allocation Coordinator has primary responsibilities to:

Develop, integrate, coordinate and oversee allocation of sport bookings and associated contracts for all City-wide facilities including ice, sports fields, pools, and other City of Markham indoor and outdoor facilities. There is a significant interaction with broad network of internal and external stakeholders Support with 450+ community groups and permit holders of City facilities. Attend meetings with community and sports groups to discuss needs and to refine and enhance respective sport allocation policies, ensuring sustainability of sport and continued community impact. Oversee the collection of a substantial revenue stream (currently in excess of $8m annually), facility promotion to maximize revenues, and for supervision of assigned staff. Liaise with community sport organizations and user to develop policies and strategies trends that reflects and aligns with the strategic direction from provincial and national sport organizations. Conduct user satisfaction and fee surveys Develop policies such as those related to rental/user fees, services-in-kind for events and tournaments, annual allocation processes, and similar Works with Finance & Legal to ensure permit agreements are updated for risk management purposes.

Requirements



Post-secondary education (diploma or university degree) Business/Public Administration, Recreation, Recreation Facilities Management or related discipline Three to five years' experience in a municipal multi-facility permitting function Three to five years' of supervisory experience Strong knowledge of sport allocation methodology, sport governance models, and exceptional customer service, negotiation, and mediation skills Excellent customer service, interpersonal, presentation, negotiating/ mediation skills, policy research and development, report-writing, organizational and supervisory skills are necessary. A primary skill is the ability to effectively reconcile competing requests with tact, diplomacy, political awareness and customer/community service in mind Basic accounting knowledge related to operating budgets Knowledge of rental-related regulatory and due diligence requirements Computer proficiency in MSOffice including Access, and Xplor Recreation (Program Registration & Facility Booking system). Availability to work flexible hours periodically to attend community meetings, trouble-shoot permit issues, and meet peak period deadlines. Driver's License in good standing and a reliable vehicle to use on City business when necessary.
