We are looking for a proactive and detail-oriented and proactive

Administrative & Bookkeeping Assistant

to join our team. The ideal candidate will play a key role in supporting the daily operations of our office, ensuring efficiency and seamless communication in a fast-paced environment. Experience with

QuickBooks

, bookkeeping, and financial record management is required.

Key Responsibilities(Administrative Support)



Provide general administrative support to the office and management team. Answer incoming phone calls with proper etiquette, redirecting inquiries to the appropriate team members. Manage calendars and coordinate appointments, ensuring optimal use of time and resources. Handle daily correspondence, email communication, and document preparation. Assist with scheudling, appointment coordination, and meting arangements. Organize and maintain filing systems for both physical and digital documents, ensuring easy retrieval of important information. Use Google Suite (Docs, Sheets, Calendar) for document creation, data management, and team communication. Support HR-related administrative tasks when neceesary (e.g. onboaring documents, data entry.)

Key Responsibilities(Bookkeeping & Accounting)

Manage daily bookkeeping tasks using QuickBooks

Data entry of invoices, receipts, and expenses Preparation of purchasa orders and billing doucuments Accounts payable and accounts receivable tracking Bank and credit finanical records and ensure timely updates. Assist with montly closing procedures and financial summaries

Requirements:



Previous administrative experience is a plus Proficient in Google Suite (Docs, Sheets, Calendar) Hands-on experience with QuickBooks is required Excellent attention to detail, accuracy, and organization skills. Excellent communication skills, both written and verbal Ability to multitask, prioritize and work idependently with minimal supervison A Bachelor's degree is required Strong communication skills in English; Fluent in

Cantonese/Mandarin
