Status: Full- me RegularJOB PURPOSE :
The Administra ve Assistant/ Service Writer will provide support for the daily office func ons. They will also act as support for the Shop Foreman when service is required. By providing one consistent source of informa on for the client, mechanics and area manager are able to perform their du es with minimal interrup ons. By coordina ng with the customer, obtaining informa on, and crea ng an accurate Repair Order (RO), the Administra ve Assistant/
Service Writer is the gateway to accurate and reliable service, must have high energy and be organized.ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Provide high-level administra ve support by conduc ng research and handling informa on requests.
  • Answer and direct mul ple phone lines.
  • Various clerical tasks such as preparing correspondence and scheduling, sor ng and distribu ng mail, shipping items as needed and filing.
  • Communicate with customers by quickly responding to inquiries.
  • Greet customers who enter the loca on.
  • Collect mail daily
  • Deposi ng cheques the same day they are received and provide Red Deer office a copy
  • Collect credit receipts, scan and forward to Red Deer office daily
  • Assist with phones, printers, computers as needed
  • File documents as needed.
  • Book flight, hotel and other travel arrangements for Summit personnel.
  • Assist in working with outside contracts for building maintenance, landscaping and business development.
  • Order and ensure office supplies are ordered and in stock.
  • All other du es as assigned by the Manager.
  • Crea on and close-out of the RO
  • Invoicing of RO's a er Managers approval of Internal Review
  • Ensure RO's are completed and closed within 3 days of work being completed
  • Entering completed RO's into third party pla orms for payment as required by specific customers
  • Communica on with Shop Foreman on per nent RO informa on and updates.
WORK ENVIRONMENT & PHYSICAL ABILITIES:
  • Required to perform work inside and outside, in all-weather situa ons, at the shop division loca on.
  • Requires frequent si ng, standing, balancing, bending or stooping for prolonged periods of me.
  • Requires eye-hand coordina on and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator and other office equipment.
  • Ability to communicate by providing verbal feedback in a professional manner.
  • Normal range of hearing and vision.
REQUIRED EDUCATION, EXPERIENCE, KNOWLEDGE & SKILLS:
  • High School diploma or equivalent.
  • Heavy and medium duty truck industry experience is a plus.
  • Ability to mul -task and work successfully in a fast paced environment.
  • Ability to use a computer proficiently and effec vely while u lizing many applica ons
  • Outstanding organiza onal and me management skills.
  • Demonstrate superior communica on skills in person, over the phone and through email and other electronic means.
  • Detail oriented
