What you'll be doing:




Manage calendars, schedule virtual and in-person meetings, coordinate travel and monitor emails/voicemail Prepare agendas, take minutes, track action items and follow up as needed Draft, proofread and edit correspondence, reports, presentations and meeting materials Maintain staff and physician schedules, on-call rosters and time-off tracking Serve as the main point of contact for internal and external stakeholders (e.g., hospital leadership, physicians, committees community partners) Triage inquiries, assess urgency and escalate to leadership as appropriate Coordinate with McMaster University for medical student and resident placements Organize educational sessions, Grand Rounds, guest speakers and other events Book meeting rooms and community venues; arrange catering, materials and logistics Support special projects, presentations and quality improvement initiatives Maintain and update policies, procedures, intranet content and distribution lists Process purchase orders, manage office supplies, arrange conference registrations and reconcile expense claims Support credentialing, security (e.g. key control) and confidential document management Assist with relocation, safety inspections, mail distribution and general office tasks such as filing, scanning, photocopying Work closely with the Chief, Directors and Management Team to ensure smooth day-to-day operations Provide backup support to other administrative staff as needed

What we're looking for:




Post-secondary education in a relevant field 3 years' experience in an administrative role supporting Management Knowledge, experience and the confidence to work independently Excellent Microsoft Office Suite skills with demonstrated ability to produce creative PowerPoint presentations Understanding of Medical Terminology and Virtual Technology such as TEAMS, ZOOM, WEBEX etc. Polished written and verbal communication skills Strong problem-solving skills; diplomatic, analytical and detail oriented A great work ethic and commitment to excellence Team player with a positive outlook and good sense of humour Working knowledge of Showcase and AS400 would be an asset
