DESCRIPTION OF PRIMARY RESPONSIBILITIES
Promptly answer and manage a multi-line phone system, directing calls to the appropriate departments or personnel.
Receive, date stamp, and distribute incoming mail and courier packages efficiently.
Provide general administrative support including filing, data entry, and document scanning.
Monitor and manage multiple email accounts, ensuring timely and professional correspondence.
Draft and distribute internal and external communications such as emails, memos, and newsletters.
Upload and review driver abstracts for accuracy and compliance.
Order office supplies and coordinate facility maintenance requests as needed.
Prepare shared office spaces and boardrooms for meetings and company events.
Maintain a clean, organized, and professional appearance in all common areas.
Offer comprehensive administrative support across all departments.
Assist in organizing company events and support various planning activities.
Coordinate travel arrangements, including flights and accommodations, for executive staff.
Oversee the administration of inbound and outbound packages to and from field locations.
Manage corporate swag inventory and support distribution efforts.
Perform other duties as assigned to support the Edmonton Team and Corporate Services.
PERFORMANCE & TECHNICAL OBJECTIVES
Demonstrate initiatives in executing responsibilities, resolving issues effectively, and contributing to the overall operational effectiveness of the office.
Proven to have strong communication skills, both verbal and written, with excellent phone etiquette.
High level of professionalism, discretion, and confidentiality.
Ability to work independently, prioritize tasks, and adapt to changing needs.
SKILLS & QUALIFICATIONS
3-5 years of office administration experience or executive assistant experience.
Certificate from a recognized Office Administration course or equivalent experience.
Intermediate to advanced level of Microsoft Office 365 suite of applications.
POSITION INFORMATION
Head Office located South Side Edmonton (Additional Overtime may be required)
Monday to Friday (40 hours per week)
