Position Overview
We are seeking a motivated and customer focused administrative assistant/receptionist to provide both front-desk and administrative support. This dual role position involves greeting visitors, answering and directing calls, managing shipping and receiving, ordering office supplies and refreshments, and supporting daily office operations
Key Responsibilities
Front-desk duties:
Greet visitors, answer and direct incoming phone calls, and maintain a welcoming and professional reception area. Process sales using the POS system. Ship and Receive packages.
Administrative tasks:
Managing correspondence and filing systems. Log all incoming repairs and maintain and update the RMA log.
Office support:
Maintain office supplies, manage office equipment, and assisting with tasks like invoicing or updating client files.
Communication:
Serve as a point of contact for clients, vendors, and staff, and responding promptly and professionally to inquiries and requests.
Qualifications
Computer proficiency:
Working knowledge of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) is a universal requirement.
Communication software:
Familiarity with phone systems and shipping programs.
Office equipment:
Competence in using office machines such as printers, scanners and POS system.
Data entry and typing:
Efficient typing and data entry skills with high accuracy.
Organizational and time management:
Ability to multitask, prioritize, and manage a dynamic workload in a fast-paced environment.
Communication and interpersonal skills:
Exceptional verbal and written communication, a professional phone manner, and excellent customer service skills.
Attention to detail:
Accuracy in handling documents, sales orders, packing slips, etc. .
Discretion and confidentiality:
The ability to handle sensitive information with a high degree of confidentiality and professionalism.
Proactivity and problem-solving:
Strong problem-solving skills with the ability to anticipate needs and take initiative.
