Job Summary


We are seeking a highly organized and motivated Administrative Assistant/Receptionist to join our team. The ideal candidate will be responsible for managing front desk operations, providing exceptional customer service, and supporting various administrative tasks. This role requires strong communication skills, attention to detail, and the ability to multitask in a fast-paced environment.

Duties



Greet visitors and clients in a professional manner at the front desk. Manage multi-line phone systems, directing calls appropriately and responding to inquiries. Perform data entry, filing, and clerical tasks to maintain organized office records. Assist with calendar management and scheduling appointments for staff. Provide customer support by addressing client needs and resolving issues efficiently. Utilize Accounting Software (i.e. Quickbooks) for basic bookkeeping tasks as needed. Proofread documents for accuracy and clarity before distribution. Maintain office supplies inventory and place orders when necessary. Support office management functions including maintaining a clean and organized workspace. Collaborate with team members on various projects as required.

Requirements



Proven experience in an administrative or receptionist role is preferred. Proficiency in Quickbooks, Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace. Strong computer skills with the ability to learn new software quickly. Excellent organizational skills with attention to detail and accuracy. Effective time management skills to prioritize tasks efficiently. Bilingual abilities are a plus for effective communication with diverse clients. Familiarity with multi-line phone systems and phone etiquette. Experience in customer service or support roles is essential. Knowledge of bookkeeping or basic accounting principles is advantageous. Previous experience as a dental or medical receptionist is desirable but not mandatory. Strong typing skills with a focus on speed and accuracy. Pay: $16.00-$23.00 per hour
