OVERVIEW We are seeking an Administrative Assistant who will provide administrative and reception assistance to the Middle School, including the Assistant Head, its faculty, students, and parents. KEY RESPONSIBILITIES:
Greets, receives, and directs all students, parents and outside visitors during the school day
Provides administrative assistance to the Assistant Head: Middle School with calendar management, ministry inspections, class observation visits, budget planning, organizing events as per school or Admissions needs
Manages all incoming/outgoing requests for appointments, materials, meetings, and information with both internal and external parties
Respond as appropriate to incoming correspondence and other inquiries, including drafting both internal and external general correspondence
Supports students with general questions about school schedule, programs, attendance
Maintain files relating to highly confidential school matters, students, and faculty files
Provide back-up support to the Lower and Upper School administrative support group as needed
Coordinate faculty professional development requests once approved by the Assistant Head
Preparation of programs for chapel services and other Middle School events
Maintains a data base on new and current Middle School students, including contact information
Coordinates, designs, formats, and produces the Middle School Parents Handbook, Parent List and Prize List
Compiles and coordinates Parent/Teacher interviews twice yearly, as well as individual interviews throughout the year
Provide assistance with the creation of push pages and weekly memo to be sent to Middle School parents as required
Orders all office supplies for the division and oversee any repairs/service to division equipment (ie: printers)
Locates students to provide messages from parents and staff
Other duties as assigned
QUALIFICATIONS:
Post-secondary education in Office or Business Administration would be an asset, but a minimum of secondary school graduation diploma
Minimum three (3) years\xe2\x80\x99 administration experience, preferably in an educational environment
Demonstrated ability with advanced Microsoft Office applications and other web-based information systems
Exceptional organization skills and attention to detail are required to efficiently manage conflicting priorities and tasks
Excellent writing, editing and communication skills
Excellent judgement, discretion, and diplomacy skills
Knowledge of the full range of administrative procedures, processes, and protocols, including correspondence management, logistics, preparation of a variety of documentation, committee meetings minutes, and event planning
Knowledge of and ability to apply basic principles of project management
Strong sense of professionalism and ethics with a demonstrated ability to handle sensitive or private information with tact and discretion
