As the Administrative Assistant, Field Services for ENMAX Power, you will provide

administrative support to various leaders and the overall department.

Major Responsibilities:

Administer the offices of the Field Services Managers, Coordinators, and their departments in ENMAX Power Corp. Field Services.

Coordinate day-to-day activities for assigned clients, oversee logistics for various meetings including conducting background research required for meetings, travel arrangements, manage calendar and email, screening for priority and filtering appropriately.

Communicate directives on behalf of the Managers and Coordinators, provide follow-up to ensure service commitments and compliance measures are met.

Manage the Purchase Order and Payment process including review, processing, and tracking of all current and incoming contracts and invoices for Field Services. Including general receiving as well as Phantom Warehouse receiving.

Prepare monthly corporate credit card reconciliations and expense reports for the departments.

Perform financial and budgetary reporting

Establish, prepare, and update monthly status reports for the Leadership Teams.

Manage the departments stationary needs, internal mail, and courier services.

Planning of internal and/or external meetings; prepare agendas/working documents/minutes, arrange for catering, room set up and manage AV equipment requirements.

Co-ordinate memberships, registrations and travel supports the on-boarding/off-boarding administration components for employees within the departments.

Support Incident Management Team during activations of the Electrical Event Command Centre (E2C2) - Act as scribe during activations.

Establish and maintain appropriate departmental files and records (electronic and paper).

Setup Lane closures, Permits, Locates and Work Methods

Other duties as required.

Education Required:

High school and related post-secondary education

Qualifications & Experience:

6+ years\xe2\x80\x99 administrative experience

Proficient with MS Office Suite (Outlook, Word, PowerPoint, Excel, Visio)

Experience with Maximo is required

Experience with Adobe, Power BI, Workday Financials and InfoLink is considered an asset

Competencies:

Able to conduct oneself professionally with various levels at ENMAX and external parties and maintain confidentiality with sensitive information.

Excellent communication skills both written and oral; able to communicate effectively and confidently with all levels within the organization.

Highly motivated and energetic, proactive problem-solving skills.

Salary: Administrative Assistant Level C/D (Current CUPE 2022 rates)

$60,505.90 - $64,294.96- $68,084.02- $71,853.24- $75,642.29

Location: 8820 - 52 St. S.E., Calgary, AB

Location: This role will be part of our hybrid (home and office) work force with office workspace located at ENMAX Place (141 - 50th Avenue SE, Calgary, AB). You will work from home on Mondays and Fridays and in the office on Tuesday, Wednesday, and Thursday.
