Office Administrator
to join our team and help keep our operations running smoothly.
Position Overview
As our Office Administrator, you'll be the go-to person for managing the day-to-day administrative tasks of our office. You'll also handle light bookkeeping duties, supporting our accountant and project managers by keeping financial records up-to-date and organized.
Key Responsibilities
Office Administration
Manage phone calls, emails, and general correspondence
Organize and maintain filing systems (physical and digital)
Order office supplies and manage inventory
Schedule meetings and coordinate calendars
Assist with permits, insurance documents, and compliance paperwork
Support the team with general administrative tasks as needed
Bookkeeping Support
Enter and reconcile invoices, receipts, and expenses
Process accounts payable and receivable
Maintain accurate financial records in accounting software (e.g., QuickBooks or similar)
Requirements
Proven experience in office administration; experience in construction or trades is a plus
Familiarity with bookkeeping or accounting tasks (QuickBooks experience preferred)
Strong organizational and time management skills
Proficient in Microsoft Office (Word, Excel, Outlook)
Excellent written and verbal communication
High attention to detail and accuracy
Ability to work independently and handle multiple tasks
Preferred Qualifications
Experience working in a small business or construction environment
Knowledge of construction project documentation
Associate's degree or relevant certification in administration, accounting, or related field
