Summary of Duties:
The Administrative Assistant provides support to the General Manager, Community Services (GM) and the Director of Community Development (DoCD)for effective program and service delivery. There will is a high degree of collaboration and interaction with other Lil\xe2\x80\x99wat Administrative Assistants, community, and leadership. This work is highly confidential in nature and requires a significant amount of attention to detail. Resourcefulness and the ability to work with little supervision is paramount in this position.

Key Deliverables and Expectations:

  • Assists the General Manager and Director of Community Development with communication including operations and service delivery, promoting and coordinating events and activities within Community Services.
  • Type and proof correspondence including letters, memos, documents and reports as requested or as circumstances dictate.
  • Provides leadership in all aspects of IT, including electronic systems for OneFeather, Payworks, ERequester,
  • Acts as the communications champion for Community Services; developing communication tools and strategies and leading implementation of communication strategies.
  • In consultation with the
, coordinates staff training sessions. * Performs necessary research and information gathering to support strategic priorities.
  • Establishing and implementing Health and Safety policies, procedures and practices.
  • Provides administrative support for meetings, conference calls, and video meetings.
  • As requested by the GM and DoCD, prepares and circulates agendas and minutes for meetings.
  • Coordinate and support arrangements needed for community events or external travel.
  • Assisting the GM and DoCD, with annual financials, budgets.
  • Logistical support (for events, projects, materials and ensure all equipment - projector, screen, microphone etc. work/ connected are in proper operation).
  • Coordination of GM and DoCD Calendars.
  • Information Management (storage, retrieval, systems, procedures, and maintenance).
  • Perform other related duties as requested.
Experience and Attributes:
  • College degree, diploma in business administration or office administration or an equivalent combination of education, training and experience.
  • 1-3 years past administrative experience.
  • Advanced level Window/ MS Office Word, Excel, Outlook.
  • Accounting Fundamentals an asset.
  • Knowledge of office management systems and procedure (knowledge and experience using Erequester an asset)
  • Outstanding written and verbal communication skills in the English language.
  • Knowledge and interest in Lil\xe2\x80\x99wat Nation territory, culture and history an asset.
  • BC Class 5 Drivers License preferred.
  • Clear criminal record check, including the vulnerable sector.
  • Act in the strictest confidentiality and professional manner at all times, including outside regular working hours.
  • Ability to work independently and as an integral member of various teams.
  • Strong organizational skills, meticulous attention to detail and time management skills.
  • Ability to meet deadlines prioritizes assignments, manage multiple tasks simultaneously and maintain confidentiality.
  • Motivated self-starter and with strong interpersonal skills.
  • Highly professional in all aspects of business, presentation and interaction with all stakeholders, clients, and Members.
