IMPORTANT: August 14, 2024 until end May 2025 APPLICATION DEADLINE: June 5, 2024 SCHEDULE: Monday to Friday, from 8:30 AM to 4:30 PM JOB SUMMARY: UNDER THE GENERAL AUTHORITY OF THE DIRECTOR OF STUDENT SERVICES AND THE DIRECT SUPERVISION OF THE CHAIRPERSON OF STUDENT ACTVITIES, TO PERFORM VARIOUS CLERICAL AND SECRETARIAL DUTIES FOR BOTH THE STUDENT ACTIVITIES, AND THE SPORTS AND RECREATION DEPARTMENTS, TO ACT AS THE FRONT-LINE PERSON FOR THE STUDENT ACTIVITIES DEPARTMENT DUTIES AND RESPONSIBILITIES:
Receive visitors, answer telephone, take messages and direct calls
Act as information and referral centre for students, staff and visitors
Control keys for the Oval Coffee House, club rooms, and display cabinets
Handle requests for booking of classrooms and display cabinets
Receive, evaluate and distribute posters
Establish sign-up lists for various activities, clubs, mini courses and academic trips
Control complex cash system and Interac deposits by collecting payments for clubs, mini courses, trips and academic activities, theatre plays, Oval Coffee House etc.
Organize all requests for payment
Maintain accurate accounting records for Student Activities\xe2\x80\x99 accounts
Prepare deposits for the Oval Coffee House and Student Activities
Flag students with debts
Create flyers, posters, tickets, signs, table tents, certificates, programs, etc. using desktop publishing programs
Type letters, (English and French), memos, reports, invoices, contracts, etc.
Handle mail, deal with routine correspondence and order stationery supplies for the department
Enter data pertaining to eligibility of student athletes and forward to different athletic associations
Maintain central files for the professional and the technicians
Prepare and post notices for the JAC Portal
Produce ID cards and retrieve information from CLARA
Prepare and input payroll for student employees and flat rate TEPA instructors in CLARA
Organize student work schedules, instruct workers, prepare TEPA for casual workers and train lunch time replacement
Help at special activities such as Service Awards, May Madness, Multicultural Week, Orientation, etc.
Posting to the College\xe2\x80\x99s TVs
Perform any other related tasks as may be assigned.
QUALIFICATIONS: Education Secondary school diploma or a diploma of vocational studies in appropriate specialty or have a diploma or an attestation of studies which is recognized by competent authority Specific Requirements:
1 year of pertinent experience
Ability to relate to students
Ability to work under pressure
Ability to multi-task
Intermediate English \xe2\x80\x93 oral, written comprehension and written production
