Job Overview
Full-time permanent position (35 h/w)Min : $788.90 Max : $910.00 per weekReporting to the Director of Human Resources, the Administrative Agent will support the HR Advisors, the Occupational Health and Safety Nurse and the Director in various administrative tasks specific to human resources.He or she will assist with the recruitment process, in particular by opening files and planning the orientation of new employees. He follows up the documentation of disability files and drafts, prepares and forwards correspondence and various reports.In addition, he/she is responsible for managing the Director\'s schedule, and for managing and coordinating the various meetings, committees and other activities she is required to attend. The administrative agent also drafts all agendas and minutes and prepares documents for the various meetings.Responsibilities
Administrative support

  • Acts as administrative support and resource person for management
  • Is responsible for managing the Director\'s schedule and coordinating the various meetings, committees and other activities that the Director is required to attend
  • Prepares meetings (agendas, documentation, minutes)
  • Receives and filters emails and mail; provides information, follows up or redirects as required
  • Establishes the calendar for the department\'s various activities
  • Produces monthly statistics and forwards them to the various stakeholders
  • Drafts and sends correspondence (letters, memos, press releases, etc.)
  • Translates documents and correspondence as required
  • Maintains archiving and data retention in accordance with the organisation\'s current procedures
  • Orders office equipment for the department and ensures that display units are stocked
Budget
  • Follows up invoices to be paid
  • Submits invoices for payment to the accounts department
Staffing
  • Assists with employee recruitment.
  • Assists in organizing and animating the orientation of new employees.
Compensation and benefits
  • Prepares certificates of employment
  • Completes expense claims and forwards them to accounting
  • Activates and deactivates EXO / OPUS cie. accounts.
Training
  • Takes part in the logistics of internal and external training courses
  • Enters training data into Logibec
Occupational health and safety
  • Follows up on correspondence relating to disability and workplace accident files (receives and dates documents, prepares and sends requests for authorization to obtain medical notes/files, prepares progressive return letters and absence notices for managers and payroll, prepares mailings for the mail service, etc.).
  • Manages the absence record for the payroll department
  • Prepares written summonses for employees\' medical appointments with the medical officer or medical experts
  • Ensures the confidentiality of medical files at all times (locked in filing cabinet)
  • Ensures that correspondence is filed in the right place in employees\' medical files.
  • Prepares the physical opening of employees\' medical files and closes files when employees leave (resignations, end of probation, etc.).
  • Takes notes for OHS committees.
  • Performs all other related tasks
Qualifications
  • AEC in human resources management support or administrative assistant
  • Minimum of three years\' experience, including at least one (1) as an administrative assistantin a human resources department within the last three (3) years.
  • Knowledge of Logibec\'s Espresso is an asset
  • Good judgement to correctly establish work priorities
  • Excellent organizational skills and discretion
  • A practical mind
  • Ability to work as part of a team
  • Autonomy, initiative and punctuality
  • Excellent knowledge of the Microsoft Office suite
  • Fluency in written and spoken French and English
