JOB SUMMARY: under the direct supervision of the director of Student Services, to perform administrative and clerical duties in student services
DUTIES AND RESPONSIBILITIES

  • Replace receptionist at the front desk, for lunch time, peak periods, absences and vacation;
  • Receive visitors, provide general information and/or direct to appropriate areas;
  • Assess student needs through structured questioning to ensure referral to the appropriate professional;
  • Schedule appointments on Outlook for Counselling and possible other departments;
  • File and retrieve all students records for Counselling;
  • Keep attendance record for personnel, sick-leave, vacation and social leave;
  • Operate a computer terminal, word processor (MS Word, MS Excel, Clara, JACAA);
  • Enter data on JACAA for statistical data (ARS);
  • Informs students regarding services such as workshops, visits and career exploration groups, extensive drop-in times and appointments for Counselling and other available services;
  • Directs students to appropriate referrals inside of Student Services such as Financial Aid, Student Activities, Health Services and outside of Student Services such as Registrar's Office, Continuing Education, SUJAC;
  • Assist in various tasks within the Student Services department such as: prepare billing & invoices for the Bar services\ Food services\ JAC Bus services, administrative support etc.
  • Assesses student needs through structured screening to ensure referral to the appropriate professional;
  • Assesses the seriousness of emergencies and contacts the appropriate professional;
  • Type letters and memos;
  • Prepare transfer cost voucher for the bus;
  • Order and distribute stationery for the department & distribute mail;
  • Perform any other related administrative and clerical tasks as may be assigned.
QUALIFICATIONS:
Education:
To have a secondary school diploma or a diploma of vocational studies in an appropriate specialty or have a diploma or attestation of studies which is recognized as equivalent by the competent authority.
Specific requirements:
  • At least one (1) year of pertinent experience (an asset)
  • Fluent English
  • Conversational French
  • Computer knowledge (Excel and Word)
  • Knowledge of Clara and JACAA (an asset)
  • Ability to deal with people pleasantly and efficiently
  • Strong interpersonal skills
  • Strong emotional intelligence
  • High degree of empathy and ensuring a calm environment while handling urgent inquiries as needed
Testing may be required to demonstrate knowledge of:
  • English (Advanced oral and written, comprehension & production)
  • French (Intermediate level oral)
  • Word (Basic)
  • Excel (Basic)
