RESPONSABILIT\xc3\x89S

Traitement des paiements

  • D\xc3\xa9poser les ch\xc3\xa8ques de location sur les comptes bancaires appropri\xc3\xa9s de la CIGWL, coder les ch\xc3\xa8ques des locataires, photocopier les ch\xc3\xa8ques et enregistrer les rentr\xc3\xa9es d\'argent sur les comptes des locataires dans le syst\xc3\xa8me comptable,
  • Effectuer toute la gestion des comptes de location et des factures, y compris les rapprochements, la mise \xc3\xa0 jour des dossiers, les recouvrements et toutes les t\xc3\xa2ches connexes,
  • Identifier et codifier les d\xc3\xa9penses d\'exploitation, \xc3\xa9mettre des bons de commande et s\'assurer que les factures correspondent aux bons de commande en termes d\'exactitude et de pr\xc3\xa9cision des affectations ; veiller \xc3\xa0 ce que le traitement soit effectu\xc3\xa9 dans les d\xc3\xa9lais,
  • Classer par ordre de priorit\xc3\xa9 les factures de frais d\'exploitation des biens immobiliers qui n\xc3\xa9cessitent un paiement imm\xc3\xa9diat,
  • Tenir des registres de contr\xc3\xb4le des factures de services publics, d\'imp\xc3\xb4ts fonciers, de location et de d\xc3\xa9penses d\'investissement, assurer l\'administration du suivi des services publics,
  • Proc\xc3\xa9der \xc3\xa0 la refacturation des locataires.
Rapport
  • Pr\xc3\xa9parer, traiter et soumettre des rapports comptables mensuels tels que les comptes cr\xc3\xa9diteurs, les transferts de fonds \xc3\xa9lectroniques, l\'enregistrement des ch\xc3\xa8ques sans provision, le d\xc3\xa9p\xc3\xb4t des ch\xc3\xa8ques de location et le rapport mensuel sur les d\xc3\xa9penses d\'investissement,
  • maintenir un syst\xc3\xa8me de classement pr\xc3\xa9cis \xc3\xa0 des fins d\'audit et de r\xc3\xa9f\xc3\xa9rence
  • Compl\xc3\xa9ter les explications sur les \xc3\xa9carts pour les rapports mensuels sur les biens immobiliers,
  • Tenir \xc3\xa0 jour les feuilles de suivi de la consommation et des co\xc3\xbbts des services publics.
Support administratif
  • Assister le directeur des op\xc3\xa9rations et le directeur immobilier dans la compilation et la maintenance de l\'ensemble de la documentation, des classeurs, des dossiers, de l\'archivage \xc3\xa9lectronique, des rapports de d\xc3\xa9penses et de diverses t\xc3\xa2ches administratives.
  • Travailler en \xc3\xa9troite collaboration avec divers groupes internes pour veiller \xc3\xa0 ce que tous les aspects administratifs des baux de location soient respect\xc3\xa9s,
  • Collecter, examiner et suivre les certificats d\'assurance des entrepreneurs et veiller au respect des politiques,
  • Participer \xc3\xa0 la fonction d\'audit annuel en localisant et en copiant les factures \xc3\xa0 des fins d\'audit et de v\xc3\xa9rification.
Relations avec les locataires/communications
  • Traiter diverses demandes de renseignements internes et externes de la part des fournisseurs concernant le paiement des factures.
  • Recueillir, examiner et suivre les certificats d\'assurance des locataires et correspondre avec les locataires pour s\'assurer de la conformit\xc3\xa9 aux politiques et aux exigences du bail.
  • Prendre les demandes de service des locataires et les transmettre \xc3\xa0 la bonne personne ou au bon entrepreneur.
QUALIFICATIONS
  • 2 ans et plus d\'exp\xc3\xa9rience dans l\'administration de biens immobiliers/la comptabilit\xc3\xa9 de biens immobiliers
  • Exp\xc3\xa9rience pr\xc3\xa9alable dans le domaine de l\'immobilier requise
  • Bilinguisme en fran\xc3\xa7ais et en anglais (\xc3\xa9crit et oral) exig\xc3\xa9
  • Formation post-secondaire dans une discipline connexe
  • Familiarit\xc3\xa9 avec Microsoft Office, Microsoft PowerPoint et Microsoft Excel
  • Passionn\xc3\xa9(e) par l\'industrie et aspirant(e) \xc3\xa0 y d\xc3\xa9velopper une carri\xc3\xa8re \xc3\xa0 long terme
  • Tr\xc3\xa8s bien organis\xc3\xa9, avec un grand souci du d\xc3\xa9tail et \xc3\xa0 l\'aise pour travailler dans un environnement o\xc3\xb9 les d\xc3\xa9lais sont courts et o\xc3\xb9 le rythme est soutenu
  • Solides comp\xc3\xa9tences en mati\xc3\xa8re de communication et de relations interpersonnelles, avec une grande capacit\xc3\xa9 \xc3\xa0 effectuer plusieurs t\xc3\xa2ches \xc3\xa0 la fois.
  • Excellentes aptitudes pour le service \xc3\xa0 la client\xc3\xa8le et toujours \xc3\xa0 la recherche de moyens de se surpasser.
  • Une personne collaborative qui travaille dur et qui aime s\'amuser au travail.
  • Une exp\xc3\xa9rience avec le syst\xc3\xa8me Yardi et/ou Angus serait consid\xc3\xa9r\xc3\xa9e comme un atout.
We\xe2\x80\x99re looking for a Property Administrator to assist with a variety of administrative functions including processing and maintaining tenant files, depositing rental cheques, processing tenant rental cash receipts, and coding property invoices for payment.

RESPONSIBILITIES

Payment Processing
  • Deposit rental cheques to appropriate GWLRA bank accounts, code tenant cheques, photocopy cheques and record cash receipts to Tenants\xe2\x80\x99 accounts in the accounting system,
  • Perform all rental account and invoice administration, including reconciliations, record maintenance, collections and all related tasks,
  • Identify and code operating expenses, issuing purchase order, and ensuring invoices match to purchase orders for accuracy and accurate allocations; ensure timely processing,
  • Prioritize property operating expense invoices that require immediate payment,
  • Maintain control logs of property utility, property tax, leasing and capital expenditure invoices, utility tracking administration,
  • Proceed with the tenant charge backs,
Reporting
  • Preparing, processing, and submitting monthly accounting reports such as accounts payable, electronic fund transfers, NSF recording, deposit of rental cheques and monthly capital expenditure report,
  • Maintain an accurate filing system for audit and reference,
  • Complete variance explanations for the monthly property reports,
  • Maintain utilities consumption and costs tracking sheets
Administrative Support
  • Assisting Operations Manager and Property Manager with compilation and maintenance of all documentation, binders, files, electronic filing, expense reports, and various administrative duties.
  • Work closely with various internal groups to ensure all administrative aspects of Tenancy Leases are maintained,
  • Collecting, reviewing, and tracking contractor insurance certificates and to ensure compliance to policies,
  • Assist in annual audit function by locating and copying invoices for audit and verification purposes.
Tenant Relations/Communications
  • Handle a variety of internal and external vendor inquiries regarding invoice payments
  • Collecting, reviewing, and tracking tenant insurance certificates and corresponding with tenants to ensure compliance to policies and lease requirements.
  • Taking the tenant service request and dispatch to the right person/contractor,
QUALIFICATIONS
  • 2 + years of experience in property administration/real estate property accounting
  • Previous real estate related experience required
  • Bilingual in French & English (written & verbal) required
  • Post-secondary education in related discipline
  • Familiar with Microsoft Office, Microsoft PowerPoint and Microsoft Excel
  • Passionate about the industry and aspiring to develop a long-term career in it
  • Highly organized with a strong attention to detail and comfortable working in a deadline driven fast paced environment
  • Strong communication and interpersonal skills with a high-level capacity to multitask
  • Excellent customer service abilities and always looking for ways to go above & beyond
  • A collaborative person who is hard working and likes to have fun at work
  • Experience with Yardi and/or Angus system would be considered an asset
