Reporting to the Vice President of Environment and Community Relations, the Executive Assistant will be responsible for assisting management in planning, organizing, and coordinating activities, including scheduling, document management, and correspondence. He or she will organize and coordinate meetings, travel, and trips. Based in Montreal, he or she will be required to work a 5/2 schedule with the possibility of teleworking.

Duties and responsibilities



Prepare, type, revise, and proofread correspondence, invoices, presentations, brochures, publications, reports, and other related documents; Record and prepare meeting minutes; Organize travel and make the necessary reservations; Follow up with employees and compile data, statistics, and other information to support follow-ups, primarily for the head office; Schedule and confirm appointments and meetings; Respond to inquiries received by phone and email and forward phone calls and messages; Establish and maintain manual and computerized filing systems for information files; Collaborate on office operations; Supervise and train, as needed, office employees on work methods and the use of common software; Ensure the team's participation in conferences and other external activities, including setting up booths and ordering promotional materials; Be the logistics contact for the external affairs team; Comply with occupational health and safety and environmental policies and rules at all times; Perform any other duties related to the position of executive assistant that are relevant to the success of the project.

Qualifications



College diploma in administration or a related field, or equivalent relevant experience; Minimum of five years of experience as an executive assistant; Bilingual (will be required to work with members of the Gold Field partnership and English-speaking collaborators).

Technical skills



Excellent knowledge of Microsoft software (Excel, Word, Outlook); Very good command of French and English, both spoken and written.

Basic skills



Excellent interpersonal and communication skills; Ability to work well under pressure; Attention to detail, thorough and methodical; Good organizational skills, autonomy, and discretion.
