Si tu souhaites contribuer activement a la transformation du secteur de l'assurance commerciale d'une entreprise en forte croissance, nous recherchons un(e) adjoint(e) administratif(ve) pour rejoindre notre equipe.





Dans ce role, tu seras rattache(e) a l'adjointe executive et agira en tant que soutien cle aux equipes des operations. Tu veilleras a la coordination efficace des activites administratives, a la planification des rencontres et a la bonne circulation de l'information entre les differents services. Tu joueras egalement un role de premier plan dans la logistique d'evenements internes et le soutien organisationnel global.




Principales responsabilites





Assurer un soutien logistique et administratif aux equipes des operations : planification des rencontres, redaction de comptes rendus et suivi des actions. Gerer les agendas et les priorites de maniere proactive, en collaboration avec les gestionnaires et l'adjointe executive. Participer a la planification logistique d'evenements (rencontres d'equipe, rencontres trimestrielles, reunions departementales, evenements corporatifs, etc.), incluant les invitations, reservations, fournisseurs et materiel. Coordonner les deplacements lies aux evenements ou reunions externes (hebergements, vols, transport, etc.), tout en veillant a l'efficacite et au respect des politiques internes. Effectuer les taches administratives avec rigueur, precision et un haut niveau de confidentialite, notamment dans la preparation, le traitement et la transmission de documents internes. Contribuer a l'amelioration continue des processus et proposer des solutions concretes pour optimiser l'efficacite.

Profil recherche




Diplome d'etudes collegiales (DEC) en bureautique, administration ou domaine connexe. Minimum de 5 ans d'experience pertinente en soutien administratif, idealement dans le secteur de l'assurance ou un environnement a haut volume d'activite. Bilinguisme essentiel (francais et anglais, a l'oral et a l'ecrit) afin de soutenir les operations a travers le Canada. Permis de conduire requis pour des deplacements occasionnels dans nos differents bureaux, principalement au Quebec. Excellente maitrise de la suite Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams) et de SharePoint. Sens marque de l'organisation, rigueur et capacite a gerer plusieurs priorites simultanement. Discretion, jugement et souci du detail exemplaire. Attitude professionnelle, autonomie et entregent. Aisance a travailler sous pression et a collaborer dans un environnement a haut volume d'activites.

If you're looking to play an active role in reshaping the commercial insurance sector within a fast-growing company, we're looking for an Administrative Assistant to join our team.





In this role, you will report to the Executive Assistant and act as a key support to the Operations teams. You'll ensure the efficient coordination of administrative activities, meeting planning, and smooth information flow across departments. You will also play a leading role in organizing internal events and providing overall organizational support.




Main Responsibilities




Provide logistical and administrative support to the Operations teams: meeting planning, minutes preparation, and follow-up on action items. Manage agendas and priorities proactively in collaboration with managers and the Executive Assistant. Assist with event logistics (team meetings, quarterly meetings, departmental meetings, corporate events, etc.), including invitations, bookings, suppliers, and materials. Coordinate travel arrangements for external meetings and events (accommodations, flights, transportation, etc.) while ensuring efficiency and compliance with internal policies. Perform administrative tasks with rigor, precision, and a high level of confidentiality, particularly when preparing, processing, and sharing internal documents. Contribute to the continuous improvement of internal processes and propose practical solutions to enhance efficiency.



Profile




College diploma (DEC) in office administration, business administration, or a related field. Minimum of 5 years of relevant experience in administrative support, ideally in the insurance sector or a high-volume environment. Strong bilingual skills (French and English, spoken and written) to support operations across Canada. Valid driver's license required for occasional travel to our offices, primarily in Quebec. Excellent command of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams) and SharePoint. Strong organizational skills, attention to detail, and ability to manage multiple priorities simultaneously. Discretion, sound judgment, and exceptional attention to detail. Professional attitude, autonomy, and strong interpersonal skills. Ability to work under pressure and thrive in a collaborative, fast-paced environment.
