Adjoint(e) administratif(ive)
Dans le cadre de vos fonctions a titre d'adjoint(e) administratif(ive), vous serez charge(e) de fournir un soutien administratif de haut niveau au Vice-president principal et chef de marche Transport, ainsi qu'aux membres de son equipe. Vous serez egalement appele(e) a accompagner deux cadres executifs dans la gestion de leurs comptes de depenses et dans l'organisation de leurs reservations de voyage.
Afin de bien jouer votre role vous devrez, sans aucun doute, avoir une excellente capacite d'adaptation, aimer etre dans l'action, etre proactif/ive, etre capable de travailler de facon autonome et sous un minimum de supervision.
Quelle sera votre contribution dans l'equipe?

  • Fournir un soutien administratif et operationnel aux dirigeants usant d'excellentes competences communicationnelles, en faisant preuve de jugement et de discretion, et en etablissant des relations avec des partenaires internes et externes;
  • Gerer l'agenda et coordonner l'emploi du temps, y compris la coordination des reunions, l'organisation de la participation a des conferences et la gestion de la logistique des reunions;
  • Prioriser les courriels et les reunions en faisant preuve de jugement et d'un sens aigu des affaires reposant sur la comprehension des objectifs, des processus et de l'Agenda;
  • Developper des agendas previsionnels et creer des processus pour assurer une planification efficace de tous les comites;
  • Preparer des presentations PowerPoint ou autres types de documents pour diverses reunions et comites internes ou externes;
  • Participer a la creation, a la revision et a l'edition de communications et consolider les documents destines aux comites de direction, etc;
  • Assurer la liaison avec les differentes parties prenantes internes et externes et etre le point de contact;
  • Coordonner les preparatifs de voyage et fournir tous les documents requis (itineraires, billets, etc);
  • Diriger la coordination de projets de grands evenements et de reunions et participer a des projets speciaux;
  • Developper des relations de confiance avec les employes, la direction et les autres collegues;
  • Preparer, soumettre et faire le suivi des feuilles de temps dans Oracle et des comptes de depenses dans Concur.

L'adjoint(e) administratif(ive) recherche(e)
  • Detient un diplome d'etudes en secretariat, bureautique ou gestion de bureau;
  • Possede un minimum de cinq (5) ans d'experience pertinente en tant qu'adjoint(e) administratif(ve)/executif(ve) aupres de cadres superieurs dans une organisation dynamique, professionnelle et complexe;
  • Est en mesure de communiquer aisement en francais et en anglais (oral et ecrit)*;
  • A une excellente maitrise de la suite MS Office (Teams, Outlook, Word et PowerPoint), SAP Concur, et avoir la volonte et capacite de s'adapter aux nouvelles technologies et aux nouveaux outils.
  • Capacite a faire preuve d'un haut degre de proactivite et de reactivite et avoir une approche orientee vers les solutions.
  • Capacite a evoluer dans un environnement au rythme rapide.
  • Capacite a etablir des priorites et a effectuer plusieurs taches simultanement;
  • Capacite a travailler de maniere independante avec un minimum de supervision.
  • Faire preuve d'integrite, demontrer sa capacite a respecter la plus grande confidentialite et savoir gerer les differentes situations qui se presenteront quotidiennement.

As part of your duties as an Administrative Assistant, you will be responsible for providing high-level administrative support to the Senior Vice President and Market Lead Transportation, as well as to members of his team. You will also be called upon to assist two executives in managing their expense accounts and coordinating their business travel arrangements.
To perform your role successfully, you'll undoubtedly need to be highly adaptable, enjoy taking action, be proactive, and be able to work independently with minimal supervision.
Your role within the team:
  • Provide administrative and operational support to management, using excellent communication skills, judgment and discretion, and building relationships with internal and external partners;
  • Manage calendar and coordinate schedules, including coordinating meetings, organizing conference attendance and managing meeting logistics;
  • Prioritize emails and meetings using sound judgment and business acumen based on an understanding of group objectives, processes and schedules;
  • Develop forward agendas and create processes to ensure effective planning of all committees;
  • Prepare PowerPoint presentations and other documents for various internal and external meetings and committees;
  • Participate in the creation, revision and editing of communications and consolidate documents for executive committees, etc;
  • Liaise with various internal and external stakeholders and act as point of contact;
  • Coordinate travel arrangements and provide all required documents (itineraries, tickets, etc);
  • Lead project coordination for major events and meetings and participate in special projects;
  • Develop trusting relationships with employees, management and other colleagues;
  • Prepare, submit and track expense accounts in Concur and timesheets in Oracle.

The ideal candidate:
  • Hold a degree in secretarial, administration or office management;
  • Has Minimum of five (5) years' relevant experience as an administrative/executive assistant to senior executives in a dynamic, professional and complex organization;
