Le ou la candidat(e) ideal(e) representera un partenaire strategique, qui pourra anticiper les besoins, coordonner les activites du conseil d'administration et s'occuper des questions confidentielles avec la plus grande integrite.
RESPONSABILITES
Coordonner toutes les reunions du conseil d'administration, y compris la planification, la preparation des ordres du jour et la distribution des documents.
Preparer des dossiers complets et en assurer la livraison en temps voulu aux membres du conseil.
Assister aux reunions du conseil, rediger des comptes rendus detailles et assurer le suivi des actions a entreprendre.
Garder a jour les registres du conseil, les resolutions et la documentation de conformite.
Servir d'agente de liaison aupres des membres du conseil et des presidents de comite, au nom du chef de la direction.
Servir de personne-ressource cle pour les parties prenantes internes et externes.
Coordonner les reunions, evenements et aspects logistiques.
Gerer les systemes de classement, les bases de donnees et les archives organisationnelles.
Fournir un soutien administratif a l'equipe de haute direction
EXIGENCES
3 a 5 ans d'experience dans le domaine administratif, de preference en tant que soutien aupres de cadres de direction ou de conseils d'administration.
Experience dans le secteur a but non lucratif ou aupres de conseils benevoles.
Excellentes competences organisationnelles, avec une capacite eprouvee a gerer plusieurs priorites a la fois.
Excellentes competences en communication ecrite et orale.
Haut niveau de professionnalisme, de discretion et d'intelligence emotionnelle.
Maitrise avancee de la suite Microsoft Office (Word, Excel, PowerPoint, Outlook).
Grande attention aux details et souci de la precision.
Capacite a travailler de maniere autonome et a anticiper les besoins de facon proactive.
Parfaitement bilingue; Capable de rediger et reviser des correspondances, de fournir, interpreter et presenter des informations detaillees, et de gerer des situations complexes en anglais et en francais. La maitrise de l'anglais est essentielle, car plusieurs de nos clientes, dirigeantes benevoles et membres de la communaute sont anglophones.

RESPONSIBILITIES
Coordinate all Board of Directors meetings, including scheduling, agenda preparation, and materials distribution
Prepare comprehensive board packages and ensure timely delivery to board members
Attend board meetings, take detailed minutes, and manage follow-up action items
Maintain board records, resolutions, and compliance documentation
Liaise with board members and committee chairs on behalf of the CEO
Serve as a key point of contact for internal and external stakeholders
Coordinate meetings, events, and logistics
Maintain filing systems, databases, and organizational records
Provide administrative support to senior management team
REQUIREMENTS
3-5 years of administrative experience, preferably supporting C-suite executives or boards
Experience in the non-profit sector or working with volunteer boards
Exceptional organizational skills with proven ability to manage multiple priorities
Outstanding written and verbal communication skills
High level of professionalism, discretion, and emotional intelligence
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Strong attention to detail and commitment to accuracy
Ability to work independently and anticipate needs proactively
Fluently bilingual with the ability to compose and edit correspondences, provide, interpret and present detailed information, and deal with complex situations in both English and French. We require English communication as many of our clients, lay leaders, and community members are English speaking.
Project management experience
Bachelor's degree or equivalent experience
Knowledge of the Montreal Jewish Community, an asset
