adjoint e administratif ve & responsable du bureau de Montreal

TA MISSION




Relevant de la Vice-presidente, ressources humaines, tu seras chargee d'accomplir un large eventail de taches administratives pour les membres de la direction et veilleras a la gestion et l'organisation du bureau de Montreal, situe dans Griffintown.


Etre le point de contact principal avec les fournisseurs externes (locateur, entretien, securite, etc.) ; Assurer le bon fonctionnement quotidien du bureau : espaces, salles de reunion, equipements, commandes de repas, envois de courriers, et services logistiques ; Offrir un soutien administratif a l'equipe de direction : prise de notes, preparation de documents, presentations et analyses ; Traiter les requisitions et demandes d'achats, ainsi que les comptes de depenses de la direction. Veiller aux achats de fournitures de bureau (materiel, equipement, mobilier) ; Coordonner les voyages nationaux et internationaux, y compris les reservations de vols, d'hotels et de locations de voitures pour certains membres de la direction et du conseil d'administration ;
Donner vie aux projets speciaux et evenements internes (logistique, repas, envois, etc.).

TON PROFIL DE COMPETENCES



Formation professionnelle ou collegiale dans un domaine d'etudes pertinent (administration ou secretariat) ; Minimum de 5 ans d'experience dans des fonctions similaires dans un environnement professionnel ; Autonomie et capacite a travailler avec peu de supervision ; Tres bonne connaissance de la suite MS Office ; Excellentes competences en communication en francais et en anglais (parles et ecrits), capacite a rediger des lettres formelles.

We are looking for a

Manager and Administrative Assistant for our Montreal office

.



YOUR MISSION



Reporting to the Vice President, Human Resources, the selected candidate will perform a wide range of administrative tasks for the executive team and oversee the management and organization of the Company's Montreal office in Griffintown.


Act as the primary point of contact with external suppliers (property owner, housekeeping service, security, etc.). Ensure the smooth day-to-day operations of the office: workspace management, meeting rooms, equipment, meal orders, sending out packages, and logistics services. Provide administrative support to the management team : note-taking, preparation of documents, presentations and analyses. Process purchase requisitions and expense reports of the executive team. Purchase office supplies, equipment, and furniture as required. Coordinate domestic and international travel, which includes making flight, hotel and car rental reservations for some members of the executive team and the Board of Directors. Support the organization of special projects and internal events (logistics, meals, shipments, etc.).

YOUR SKILLS PROFILE



Have a vocational or CEGEP credential in a relevant field (administration or secretarial studies). Minimum of 5 years of experience in a similar role in a professional environment. Independence and ability to work with little supervision. Very good knowledge of the MS Office Suite. Excellent communication skills in French and English (spoken and written) and an ability to write formal letters.
