Securo, an innovative company with 35 years of experience in property security, is looking for a bilingual dispatch agent and receptionist to join our dynamic team. We offer customized residential and commercial security solutions using state-of-the-art technology.

Key Responsibilities - Reception & Technician-Dispatch Administrator



Reception & Front-Desk Duties

Warmly greet all visitors, clients, and vendors; ensure sign-in / security protocols are followed Manage a multi-line phone system and shared email inbox, triaging inquiries to the right team members Provide first-level information on company services, pricing, and basic troubleshooting steps Receive mail, packages, and courier deliveries; log and distribute promptly Keep the lobby and front desk area tidy, stocked, and client-ready at all times

Technician Dispatch & Scheduling

Monitor incoming service requests (calls, emails, ticketing software) and create service orders with complete, accurate details Prioritize jobs using urgency, client SLA, technician skill set, and geographic proximity Build efficient daily and weekly routes; adjust schedules in real time when emergencies or delays arise Confirm appointments with clients (phone, SMS, or email) and send reminders / access instructions Track technician departures, arrivals, and job completion status using GPS or workforce-management tools (e.g., TrackTik, Zendesk, Service Titan) Coordinate parts availability, equipment pick-ups, and site access requirements before dispatching

Administrative & Customer Support

Enter and update client information, job notes, and time logs in the CRM / ERP system Generate work orders, service reports, and PO numbers; obtain client signatures on completion Prepare daily dispatch summaries and technician workload reports for management Assist accounting by flagging billable hours, collecting credit-card details, and verifying purchase order references Follow up on open tickets, warranty claims, and return-visit needs to ensure timely resolution

Communication & Coordination

Serve as the central point of contact between field technicians, sales reps, project managers, and clients Escalate technical issues or resource conflicts to appropriate supervisors without delay Maintain clear, bilingual (English/French) communication when required, both verbally and in writing Provide technicians with job documentation (drawings, access codes, H&S forms) before arrival on site

Compliance, Safety & Continuous Improvement

Verify that technicians possess required certifications, permits, and PPE for each job Record incident reports, near-misses, and customer complaints according to company procedure Contribute to process improvements--e.g., refining dispatch workflows, creating phone/email templates, or updating SOPs Protect confidential client data by following privacy and cybersecurity policies

These responsibilities combine the front-of-house professionalism of a receptionist with the real-time logistical coordination needed to keep technicians productive and clients satisfied.

Accueil et reception

Accueillir chaleureusement visiteurs, clients et fournisseurs ; assurer le respect des protocoles de securite et d'inscription Gerer un systeme telephonique multi-lignes et une boite courriel partagee, puis aiguiller les demandes vers les bonnes personnes Fournir un premier niveau d'information sur les services, la tarification et les etapes de depannage de base Receptionner le courrier, les colis et les livraisons de messagerie ; consigner et distribuer rapidement Maintenir l'aire d'accueil propre, bien rangee et prete a recevoir les clients en tout temps

Planification et repartition des techniciens

Surveiller les demandes de service entrantes (appels, courriels, logiciel de billets) et creer les bons de travail avec des details complets et exacts Prioriser les interventions selon l'urgence, les SLA, les competences des techniciens et la proximite geographique Elaborer des routes quotidiennes et hebdomadaires efficaces ; ajuster les horaires en temps reel lors d'urgences ou de retards Confirmer les rendez-vous avec les clients (telephone, SMS ou courriel) et envoyer rappels / consignes d'acces Suivre les departs, arrivees et statuts de fin de tache des techniciens via GPS ou outils de gestion de main-d'oeuvre (p. ex. TrackTik, Service Titan) Coordonner la disponibilite des pieces, la collecte d'equipement et les exigences d'acces avant la repartition

Soutien administratif et service a la clientele

Saisir et mettre a jour les informations clients, les notes de travail et les feuilles de temps dans le CRM / ERP Generer bons de travail, rapports de service et numeros de bons de commande ; obtenir la signature du client a la cloture Preparer des resumes quotidiens de repartition et des rapports de charge de travail pour la direction Aider le service de comptabilite en signalant les heures facturables, en recueillant les donnees de paiement et en validant les bons de commande Faire le suivi des billets ouverts, des reclamations sous garantie et des visites de retour pour assurer une resolution rapide

Communication et coordination

Servir de point de contact central entre techniciens, representants commerciaux, charges de projet et clients Elever sans delai les problemes techniques ou conflits de ressources aux superviseurs concernes Maintenir une communication claire et bilingue (francais/anglais) a l'oral et a l'ecrit Remettre aux techniciens la documentation de chantier (plans, codes d'acces, formulaires SST) avant leur arrivee sur site

Conformite, securite et amelioration continue

Verifier que les techniciens possedent les certifications, permis et EPI requis pour chaque intervention Consigner les rapports d'incident, quasi-accidents et plaintes clients selon la procedure interne Contribuer a l'amelioration des processus : optimisation des flux de repartition, creation de modeles de courriel/telephone, mise a jour des SOP Proteger les donnees confidentielles des clients en appliquant les politiques de confidentialite et de cybersecurite
