Position Title: Accounts Receivable Administrator

Department: Finance

Location: Commissionaires Victoria - Divisional Office - Victoria, BC

Reports To: Chief Financial Officer

Hours: Monday to Friday 0800 to 1600 - excluding stats

The Accounts Receivable Administrator reports to the Director of Finance and is responsible for managing accounts receivable and back-filling the payroll position as well as performing other duties as assigned.

JOB DUTIES AND RESPONSIBILITIES:

Accounts Receivable:

  • Producing and distributing invoices through AccPac.
  • Manual Invoices official and nonofficial.
  • Processing and posting E-tranfers.
  • Receiving and depositing cash and cheque receipts to the bank.
  • Following-up on, collecting and allocating payments.
  • Issuing credit notes.
  • Carrying out billing, collection and reporting activities according to specific deadlines.
  • Processing credit card payments.
  • Investigating and resolving customer queries and payment discrepancies.
  • Communicating with customers via phone, e-mail and mail.
  • Continuously reviewing outstanding accounts receivable and advising the Director of Finance of action taken or recommended.
  • Assisting with month-end closing of accounts receivable.
Payroll :
  • Processing full-cycle payroll, collecting and reviewing electronic time data and calculating pay.
  • Entering new employee information in AccPac and keeping the information up to date.
  • Entering new clients/detachment information into AccPac and confirming entry in In-Time Scheduling for Enterprises (ISE).
  • Issuing of pay by cheque or direct deposit.
  • Ensuring compliance of statutory and other authorized deductions.
  • Responding to pay inquiries by members, as well as WorkSafe BC, Human Resources Canada and Family Maintenance Program requests and returns.
  • Running computerized reports associated with pay and invoices.
  • Processing Records of Employment as well as annual production and dissemination of T-4's to Division employees.
  • Performs other duties.
ESSENTIAL AND RATED QUALIFICATIONS FOR THE POSITION
  • Minimum High school diploma or GED equivalent required.
  • College level accounting classes or Accounting Degree preferred.
  • At least one year of accounting experience required.
  • Knowledge of common accounts receivable principles and practices.
  • Ability to meet tight deadlines
  • Demonstrated excellent teamwork skills.
  • Demonstrated strong problem identification and problem resolution skills.
  • Sound analytical thinking, planning, time management and prioritization skills.
  • Ability to exercise discretion, tact and good judgment when dealing with sensitive issues.
  • Excellent organizational skills.
  • Ability to respond appropriately under pressure with a calm and steady demeanour.
  • Ability to listen and effectively communicate, both verbally and in writing and follow-up effectively with all clients/customers at all levels of an organization.
  • Ability to build and maintain effective working relationships with co-workers, employees, union officials, the general public and other organizations.
  • Possess a strong work ethic.
  • Proficient with Microsoft Office productivity suite (i.e. Outlook, Word and Excel).
